About The Role
Job Summary:
The Document Controller will be responsible for managing and controlling project documents to ensure their accuracy, quality, and compliance with standards and procedures. This role involves maintaining document control systems, facilitating the smooth handling of documentation, and supporting project teams. Additionally, this role will handle general office administration duties.
Key Responsibilities:
* Maintain an organized document management system, ensuring documents are stored and accessible according to company and contractual procedures.
* Implement and enforce document control procedures, including proper control, distribution, and filing of documents.
* Ensure all documents meet internal and external standards, including regulatory and company policies.
* Manage document versions, ensuring the latest are available and obsolete ones are archived appropriately.
* Review documents for completeness, accuracy, and compliance with formats and procedures.
* Collaborate with internal and external parties to meet document control requirements through formal transmission and receipt processes.
* Manage document transmittals between BRUSH and clients/suppliers following company and third-party procedures.
* Provide training and support to staff on document control systems and processes.
* Support audits by providing necessary documentation and records.
* Incorporate lessons learned into the document control process for continuous improvement.
* Identify opportunities for process improvements in document control.
* Handle telephone inquiries, manage post, and greet visitors.
* Order office supplies and manage general items as needed.
* Support SHE (Safety, Health, Environment) activities and requirements.
Qualifications, Knowledge, Experience & Skills:
* Proficient in document management software and systems.
* Strong attention to detail and accuracy.
* Effective communication and interpersonal skills.
* Ability to work independently and in a team.
* Knowledge of industry standards and regulatory requirements related to document control.
* Flexible and adaptable to various tasks.
Experience:
* 1-2 years of experience in document control or records management, preferably in an engineering setting.
* General office administration experience.
