PURPOSE OF JOB:
The Front of House Receptionist serves as the first point of contact for visitors, clients, and staff, providing a welcoming and professional reception experience. This role is responsible for managing the front desk, handling incoming calls, directing inquiries, and maintaining a tidy and organized reception area. The receptionist plays a key role in creating a positive impression of the organization and ensuring smooth day-to-day operations.
KEY RESPONSIBILITIES:
Meet and greet all visitors at Bytes House, ensure they are checked in and provide relevant guidance
Responsible for entry passes and ID cards for both staff and visitors.
Manage BSS Reception inbox dealing with any enquiries efficiently and promptly
Administration of Net2Access control to allow access to the building outside of office hours
Manage meeting room schedules via Outlook Calendars
Management of Vendor bookings via B Smart
Set-up & set-down meeting rooms for Sales days etc
Assistance with on-site events
Assist with Sales Intake days – liaise with Divisional Director for requirements on the day
Work closely with IT to ensure all equipment in meeting rooms is fully functional and ready for use
Carry out daily checks of office cleaning reporting issues to the FM and adding to the Cleaners Comment Book
Management of on site vending machines – monitor stock levels & liaise with supplier on refills
Order buffet lunches and deliver to relevant meeting rooms
Order monthly: Employee of the Month (EOTM), reward vouchers, staff awards etc
Order Milk and other food supplies weekly – 3 x a week
Keep a log of all Reception purchases, manage and carry out cost comparisons
Raise Purchase Orders for items purchased ie: Amazon, EOTM, Flowers, Stationary, Contractors
Post duties, organise incoming post and frank outgoing mail each day
Bind and laminate documents as & when required
Provide monthly water meter readings via Everflow portal
Testing of fire alarms
Organisation of Christmas decorations annually
Assist Head of Facilities and Facilities Co-ordinator with ad hoc Tasks
QUALIFICATIONS, EXPERIENCE, & SKILLS:
GCSE A-C in English & Mathematics
Experience in a similar front of house position
Strong communication
Good attention to detail
Organisational skills
Problem solving
