Job Title: Office Manager
Location: Headquarters (Full-time, 5 days a week)
Salary: £28k+
Gumball 3000 is a global lifestyle and entertainment brand known for its world-famous supercar rally and dynamic creative ventures. We’re seeking a proactive and highly organised Office Manager to oversee the smooth day-to-day running of our headquarters and provide direct support to the CEO’s Executive Assistant. This role is ideal for someone energetic, detail-oriented, and eager to grow within a fast-paced, creative environment.
KEY RESPONSIBILITIES:
Office Management:
* Oversee the day-to-day running of the office, ensuring a professional, efficient, and positive working environment.
* Manage office supplies, equipment, and general maintenance, liaising with vendors and service providers as needed.
* Coordinate incoming and outgoing mail, deliveries, and couriers.
* Support general operational efficiency across departments.
Executive & Administrative Support:
* Provide assistance to the CEO’s EA, including diary management, scheduling meetings, and preparing materials.
* Handle administrative tasks such as filing, data entry, and document management.
* Assist in preparing presentations, reports, and correspondence.
* Support internal and external meeting coordination and travel arrangements.
HR Support:
* Assist with basic HR administration, including maintaining staff records, onboarding new employees, and managing holiday/sickness tracking.
* Help coordinate recruitment logistics and liaise with external agencies where required.
* Support team events, wellbeing initiatives, and internal communications.
CRM & Systems Management:
* Update and maintain CRM databases (preferably Salesforce), ensuring accurate and up-to-date client and contact information.
* Support reporting and data management for client relations, sales, and sponsorship activities.
* Assist in improving internal processes and digital systems to enhance efficiency.
Finance & Admin:
* Assist with invoice tracking, expense reporting, and budget administration.
* Liaise with suppliers, contractors, and service providers to ensure smooth financial and operational processes.
Team & Culture:
* Act as a point of contact for office-related queries and needs.
* Help foster a positive and collaborative company culture through team support and event coordination.
KEY SKILLS & ATTRIBUTES:
* Proven experience in an administrative, PA, or office management role.
* Strong organisational and multitasking abilities with excellent attention to detail.
* Experience using CRM systems (Salesforce preferred) and proficiency in Microsoft Office (Word, Excel, PowerPoint).
* Strong interpersonal and communication skills, both written and verbal.
* Ability to maintain confidentiality and handle sensitive information.
* A proactive, solution-focused mindset with the ability to thrive in a dynamic, fast-paced environment.
