Position Overview
The role of Customer Engagement & Proposal Coordinator, is to support the delivery of initiatives that improve the sales effectiveness and productivity of our EMEA sales force as well as develop customer facing communications in response to client & venue requests for proposals & presentations. Responsibilities will include the design and development of sales content and toolkits, partnering with capability owners to improve conversion and win rate across our commercial, operations and production teams where they are involved in selling. This role requires an innovative approach to develop the right content and tools that transform sales skills and behaviours.
They’ll participate in activities related to the development, planning, and scheduling of proposals. This position coordinates and produces the proposal (RFI, RFP, MSA etc.) response while coordinating and assembling deliverables from multiple departments to ensure that all pieces of the proposal come together in a timely fashion. Responsibilities include introduction and implementation of all necessary proposal procedures and processes.
This role is responsible for enhancing proposal development and pushing the company beyond its current model by challenging the status quo and engaging sales, creative services, and operations leadership to produce a successful RFP response process.
This role must be able to execute the current process while preparing to solve future needs. In general, a high degree of flexibility between the positions in the CE team must be planned in order to manage the current and sometimes unpredictable workload together as a team.
This position reports to the Sr Manager, Customer Engagement.

Key Job Responsibilities
Proposal Department Management
13. Drive Results - Develops processes and infrastructure to support the timely, accurate submission of responses.
14. Manage the RFP response process for positioning Encore in a successful manner through customer facing proposals.
15. Create customer-facing outputs that illustrate a compelling value story for customers that utilise best practice responses and competitive strengths.
16. Deliver World Class Service - Coordinate RFP responses, which includes reviewing and analysing RFPs, collaborating with key sales and account managers on specific sales strategies and positioning for successful customer negotiation and/or renewal agreement.
17. Proposal development includes assigning tasks and timelines to a variety of departments, monitoring and managing tasks and timelines, validating data with subject matter specialists, and compiling all information into a proposal format to meet RFP requirements and Encore standards.
18. Do the Right Thing - Ensure the quality of the proposals with respect to grammar, formatting, and imagery.
19. Track overall proposal results and keep a documentation according to the pipeline of opportunities and key learnings

20. Actively manage proposal content to maintain a robust, relevant database in alignment with corporate brand guidelines, technology solutions portfolio, and related content.

Job Qualifications
35. 5+ years of experience in a combination of a sales and content development role
36. Strong design skills with competency across the Adobe Creative Cloud suite, e.g. InDesign, Photoshop and Premiere Pro, as well as Canva and Powerpoint
37. Experience in the application of design thinking methodology
38. Experience with CRM technology- ideally Microsoft dynamics
39. Excellent written and verbal communication skills
40. Works well under pressure with project deadlines and multiple deadlines
41. Builds relationships and works collaboratively with team members at a variety of levels across the organisation
42. Able to work autonomously utilising the latest trends within the events industry and creative space
43. Knowledge of the hospitality or meetings & events industry would be beneficial
