General Department: Operations Reporting to: Head of Operations Area: All regions Hours of Work: 9 hour days (45 hours per week) Place of Work: Remote Job Purpose We are seeking a highly organised and detail-oriented cleaning operations support individual to assist in the coordination and delivery of cleaning services across multiple sites within the growing portfolio. This role provides essential support to the operations team and ensures the seamless delivery of services by coordinating schedules, managing supplies and equipment, maintaining compliance documentation, onboarding new staff, updating subcontractors, suppliers and clients and providing administrative support to field and office staff. The ideal candidate will be proactive and comfortable working in a fast-paced environment playing a vital role in ensuring operational efficiency, compliance with service standards, and high levels of client satisfaction. Major Accountabilities To demonstrate the core values and lead by example at all times. Liaise with Operations and Area Managers to support the day-to-day cleaning operations by coordinating schedules, staff coverage and dealing with urgent service requirements. Prepare regular reports on service delivery for operations management to deliver to clients. Aid in the recruitment of cleaning operatives by administering posts and filtering CVs on Indeed passing over to Operations and Area Managers to then take the lead on. Assist in onboarding new cleaning team members sending out new starter forms via the HR system and checking the information submitted before obtaining higher approval. Support the administration of HR matters including drafting letters to employees i.e. for TUPE transfers, contract changes and disciplinary matters as a note taker. Support the mobilisations of new contracts ensuring sites are set up correctly on company systems, liaising with suppliers and attending mobilisation meetings with clients. Coordinate the maintenance, delivery, and tracking of cleaning equipment across sites. Respond to urgent requests and coordinate emergency staffing or support when needed. Assists Operations and Area Managers in updating client CAFM and/or Permit systems. Liaise with subcontractors on job attendances, obtaining service information and compliance documentation ensuring all records are kept up-to-date on systems. Liaise with suppliers and vendors on product queries, equipment servicing and coordinating deliveries to sites following up on any delivery issues. Schedule jobs to be carried out either internally managed by the Operations and Area Managers for deep cleans etc or external works for subcontractors to complete. Send out subcontractor job/worksheets/reports and updates to clients via email for services such as pest control, washroom services, window cleaning and waste clearances. Assist in liaising with clients on site to help address operational concerns or feedback then pass them to the Operations and Area Managers or if need be, escalating them higher. Help manage service level agreements (SLAs) and escalate issues when necessary. Maintain accurate employee records, training logs, site checklists, and compliance documentation on company systems. Support Operations and Area Managers in maintaining accurate site records including machinery equipment, uniform issuing and COSHH SDS documentation. Support the reporting for senior management and compliance purposes. To adhere to all company processes, policies and procedure. Role Requirements Previous experience cleaning, facilities, or operations support role preferred Excellent written and verbal communication skills Sound knowledge of Health and Safety regulations and COSHH legislation Ability to work independently and handle multiple priorities Excellent organizational and time-management abilities.
