On behalf of our globally respected client who develop cutting-edge technologies that deliver clean, safe and competitive solutions to meet the planet's vital power needs we are looking for a Secretary Administrator for an 18-month contract based in Derby. Full time on site.
Purpose of the role:
To deliver high-level secretarial and administrative support to a team of senior managers, ensuring the smooth and efficient operation of their daily activities. The role demands exceptional organisational skills, attention to detail, and the ability to anticipate needs in a fast-paced, professional environment.
What you'll do:
* Responding to telephone and in-person enquiries on behalf of the site, including screening incoming calls when necessary and providing accurate, timely responses to queries.
* Overseeing the management of site pool cars, including booking, usage tracking, and ensuring vehicles are maintained and available as required.
* Monitoring and ordering stationery supplies, maintaining accurate records. Responsible for filing systems and managing the collection and distribution of incoming and outgoing mail.
* Maintaining and regularly update internal distribution lists, ensuring accuracy and relevance. Draft and circulate communications to appropriate stakeholders in a clear and professional manner.
* Providing consistent secretarial and administrative support to primary managers, ensuring continuity of service. Assist with sourcing and coordinating cover for both internal and external secretarial support when needed.
* Delivering general site support as required, including assisting with operational tasks and ensuring smooth day-to-day functioning of site activities.
* Manage the ordering and distribution of uniforms for factory floor staff, ensuring correct sizing, timely delivery, and alignment with company standards.
The skills you'll need:
* Previous experience in an administrative role.
* Ability to operate calmly under pressure and establish own work priorities to deliver against deadlines.
* Excellent attention to detail, to produce accurate work in a timely manner.
* Ability to exercise judgement and act on own initiative.
* High degree of computer literacy in Microsoft Office applications.
