Role purpose
This is a highly trusted, proactive role, providing comprehensive support to the joint CEOs.
The Executive Assistant will be a trusted partner to the CEOs, enabling them to focus on strategic priorities by ensuring the smooth and efficient management of their time, communications and key activities – managing schedules, coordinating priorities, supporting internal communications, and ensuring that interactions are efficient, professional, and aligned with organisational values.
Key responsibilities
* Provide high-quality, proactive support to senior leaders, including complex diary management, scheduling, and prioritisation of commitments.
* Coordinate internal and external meetings, ensuring thorough preparation including agendas, briefing materials, and follow-up actions.
* Act as a gatekeeper and facilitator, managing communications on behalf of senior leaders with professionalism and discretion.
* Support leaders to manage competing priorities, ensuring effective use of time and alignment with strategic objectives.
* Prepare presentations, reports, and correspondence to a high standard.
* Track key actions and deadlines, ensuring timely follow-up and delivery.
* Coordinate travel arrangements, including itineraries, accommodation, and expense management.
* Support the planning and coordination of key organisational activities, including leadership meetings and events.
* Maintain accurate records, files, and documentation, ensuring accessibility and compliance where required.
* Develop and improve administrative systems and processes to enhance efficiency and effectiveness.
* Build effective working relationships with internal and external stakeholders.
* Support the organisation of internal events, workshops and team activities.
* Handle sensitive information with a high level of discretion and professionalism.
* Support governance processes, including preparation of board or leadership materials and documentation.

Essential criteria
* Proven experience in an Executive Assistant or similar senior administrative role.
* Experience supporting senior leaders in a fast-paced or complex environment.
* Exceptional organisational and time management skills, with the ability to manage competing priorities.
* Strong written and verbal communication skills, with high attention to detail.
* Ability to work proactively, anticipate needs, and solve problems independently.
* High level of discretion and professionalism when handling confidential information.
* Strong interpersonal skills with the ability to build effective working relationships.
* Proficiency in Microsoft Office.
* Ability to work autonomously while remaining aligned with organisational priorities.
Desirable criteria
* Experience supporting governance or board-level activity.
