Our client is currently looking for an experienced Administration Manager to join the team on a full-time, permanent basis.
This is an exciting opportunity to join a growing business, supporting operations across multiple departments and leading a team of administrators. The successful candidate will play a key role in ensuring efficiency, accuracy, and high-quality service delivery particularly across invoicing, scheduling, customer reporting, and process improvements.
Key Responsibilities
Operations & Scheduling
Coordinate routine and emergency engineering visits
Manage engineer schedules and ensure job documentation is complete
Oversee availability of vehicles, equipment, and access to customer sites
Commercial Administration
Ensure timely issuing of service reports, quotations, and invoices
Process orders and invoices in the ERP system
Review timesheets, expenses, and ensure correct job costing
Process & Data Standards
Maintain key accreditations (e.g. SafeContractor, Construction Line)
Create and monitor admin SOPs and data entry standards
Conduct data quality checks across systems
Customer Support & Reporting
Produce and issue customer KPIs and service reports
Attend key customer meetings and follow up on actions
Handle warranty claims, customs processes, and general enquiries
Team Management & Training
Lead and support admin team members, including annual appraisals
Maintain training records and certifications for site access
Support staff development in line with business needs
Other Duties
Support mailbox management and tender submissions
Oversee parts ordering and engineer travel bookings
Provide cross-departmental admin support as needed

Strong administrative background in a fast-paced environment
Proficient in Microsoft Office (Excel, Word, Outlook)
Excellent communication, organisational and time management skills
