Overview
The post holder will work closely with the HR Consultants in the Division, providing a first class HR service to the Directorates. This role provides exposure to a range of HR responsibilities, including workforce reporting, absence management and procedural advice. The successful candidate will have demonstrable administration experience and strong technical knowledge, value collaborative working, and support the team and the wider division through providing timely and accurate reports. You will value building relationships and see this as a key measure of success within this role. You will manage the divisional HR inbox, replying to and escalating queries as appropriate, and keep a track of frequently asked questions to enable a proactive division response. You will support the Divisional HR Consultants in preparing monthly workforce data reports for colleagues within the division and run and monitor absence management reports, highlighting issues to the relevant HR Consultant. You will assist with sickness absence management across the division and support engagement projects across the division, such as the divisional newsletter or quarterly new starter lunch.
Responsibilities
* Proactively address absence issues by contacting managers about initial short term and long term sickness absences to offer support and guidance in line with Trust procedures.
* Send regular reminders to prompt managers about actions required on HR-related subjects (e.g., return to work compliance, sickness pay expiry, PIN expiry, fixed term contract expiry).
* Support the HR Consultants and HR Administrators with managing redeployment processes by arranging interviews with potential managers.
* Provide first-line advice and support on a range of HR policies and procedures, ensuring guidance fits the needs of the service/manager and is in line with best practice, Trust policy and current legislation; escalate more complex issues as appropriate.
* Communicate with tact and compassion when dealing with complex or sensitive information (e.g., disciplinary issues, redeployment, appeals).
* Assess the complexity of incoming issues to determine escalation needs and manage routine queries unsupervised where appropriate.
* Work with managers on specialist recruitment campaigns for high turnover areas.
* Coordinate with the central recruitment team to ensure recruitment is managed effectively and is accessible, flagging concerns to senior HR colleagues as soon as identified.
* Support the development of a recruitment plan for the division and assist with event organization, candidate administration and VBI interviews.
* Run regular reports on statutory and mandatory training, appraisal, sickness absence, etc., and update managers on required actions as appropriate.
* Undertake workforce-related projects as required across the Division.
* Support the co-ordination of the annual job planning process and the collation of job plans.
Qualifications
* Certificate in Personnel Practice or equivalent, or GCSE; experience of supporting sickness review meetings with managers; experience of working in HR or a similar setting.
* Experience of supporting sickness absence review meetings.
* Desirable: experience of producing reports.
