Job Description – HR and Operations Administrator
Overview
The HR and Operations Administrator plays a vital role in supporting the smooth, efficient, and compassionate running of veterinary practices closely with Practice Managers, Ops Manager, and HR Manager. This role ensures that key operational, administrative, and communication functions are delivered to a high standard.
This role requires exceptional organisational skills, strong communication, and the ability to work across multiple practices with professionalism and a positive, solutions-focused approach.
Key Responsibilities
Administrative Support
* Provide comprehensive day-to-day administrative support in doing the Rota across all sites
* Maintain accurate internal records across HR, finance, compliance, and operations
* Support with the coordination of staff planning for events
Operational Coordination
* Assist with the flow of information between practices, ensuring teams have the resources, updates, and guidance they need.
* Support onboarding and integration when new staff members join, ensuring smooth transition and consistent standards.
* Monitor compliance tasks (e.g., health & safety, equipment checks, practice audits) and ensure practices complete required actions within set timelines.
* Liaise with clinical staff, support teams, suppliers, and external partners to resolve Rota queries promptly.
Financial Administration
* Process invoices, purchase orders, and expenses in line with financial procedures.
* Support payroll administration by collating timesheets, rota updates, and attendance records.
Human Resources Support
* Support recruitment administration, including advertising roles, scheduling interviews, and managing communication with candidates.
* Assist with onboarding tasks such as preparing induction packs, ensuring documentation is complete, and updating personnel records.
* Maintain accurate HR data, including absence logs, training records, and compliance documents.
Skills & Experience Required
Essential
* Strong administrative experience, ideally across multiple sites or departments.
* Must be comfortable with working in practices, as the role will be in person
* must be happy with travelling to multiple sites
* Experience with Rotas and Rota Management
* Excellent organisational and time-management skills with the ability to prioritise effectively.
* Confident IT skills, including proficiency with Excel, Word, and digital management systems.
* High attention to detail and consistent accuracy.
* Strong written and verbal communication skills.
* Ability to work independently whilst remaining a collaborative team player.
* Professional handling of confidential or sensitive information.
Desirable
* Experience within a veterinary, healthcare, or service-led environment.
* Understanding of clinical operations and regulatory requirements.
* Experience supporting remote or field-based teams.
