Medical Education Administrator

This role co‑ordinates the administration of the Medical Education department and supports administrators in providing a comprehensive, efficient and high‑quality administrative service. The post holder will co‑coordinate Medical Student placements, Training programmes and Academic programmes for Doctors, Doctors in Training and medical students. They will assist in the day to day running of the Education Centre at Farnham Road Hospital and in wider education department activities. They will be required to liaise with internal departments, training providers and external bodies such as Universities, BMA, HEE and other Trusts.

Job responsibilities
Key Responsibilities
* Assist in the organisation of the trainee induction programmes, including preparation and issue of Induction Packs for all new trainees.
* Develop and maintain robust and secure data management systems.
* Assist the Coordinator in the delivery of all SAS Doctor training programmes, ensuring smooth delivery of all courses and maintaining robust reporting systems for financial and evaluation purposes.
* Assist in the delivery of the Undergraduate student placement programme, working with Universities, Undergraduate Tutor and medical students and delivering Inductions on various sites and online.
* Assist in coordinating educational events at Silverwood, West Park and Farnham Road, including organising and preparing training materials and setting up of and providing practical training on appropriate IT and AV equipment.
* Assist in compiling data to identify trends of performance and compliance. Use this data for production of reports such as demand and capacity/compliance for distribution to key stakeholders and to meet Trust reporting requirements.
* Maintain trainee records spreadsheet, collect and collate evaluation information from courses, and provide reports on these as required.
* Assist in updating trust‑wide Trainee handbooks and contribute to populating and updating the Education webpages on the Trust website.
* Assist in the work of the administration team to ensure provision of an efficient and timely service to all staff and managers.
* Support and respond to all queries and escalated issues from the team and escalate these as appropriate.
* Contribute to the organisation of trainee doctor rotations and the academic programme for medical trainees, assisting the locality tutors and Deputy Medical Education Manager.
* Assist in the planning, production and circulation of the academic programme to all clinicians.
* Assist in the smooth running of the Education Centre, adhering to health and safety standards and creating a safe training/working environment for all staff and visitors.
* Build and maintain relationships with trainers, staff across the divisions, HR and others as necessary to ensure good working relationships and efficient communication.
* Administer specific Medical Education/ Education projects undertaken within the department as required.
Person Specification
Education
* Educated to A level standard (or equivalent)
* NVQ Level 4 in business administration or equivalent experience in an office environment (1 year)
Experience
* Experience of working autonomously to tight deadlines
* Demonstrable skills in Microsoft Office applications
* Experience of working in a Medical Education environment
* Experience of working in an administrative position in the NHS
