We are seeking a dedicated and detail-oriented Support Coordinator to join our team to initially cover a maternity leave. This role may have the possibility to become permanent at the end of the 9 months. Which 3 days per week, are to be confirmed.
This role is essential in ensuring smooth operations within the organisation by providing administrative support and coordinating various tasks. The ideal candidate will possess strong organisational skills and a proactive approach to problem-solving, making them a key asset in our daily operations.
Start Date: Immediate after notice period
Hours per week: 22.5 p/w with a 30 minutes lunch break
Responsibilities
* Provide comprehensive administrative support to the team, ensuring efficient workflow
* Be a key holder and open and close our head office daily
* Manage data entry tasks with accuracy and attention to detail
* Report weekly KPI's to the Senior Management Team as requested
* Maintain organised records and files, both electronically and physically
* Handle incoming phone calls with professionalism, demonstrating excellent phone etiquette
* Provide day to day support to the Senior Management Team
* Assist in the preparation of reports and documentation using various systems
* Coordinate schedules, appointments, and meetings for team members
* Support financial processes by managing invoices, petty cash, and basic bookkeeping using Xero
* Collaborate with various departments to facilitate communication and project coordination
* Understand and participate in support during times of high annual leave, sickness absence and any emergency situations that might arise e.g. adverse weather conditions, unexpected unauthorised absences, unforeseen circumstances
* Self-motivated and flexible, with a willingness to participate in an on call system for out of office hours
* Assist our HR with holidays, sickness, disciplinaries, interviews, and minute taking
Skills
* Proficient in computerised systems
* A background in support services is an advantage
* Must be a driver with access to own vehicle
* Experience in data entry with a keen eye for detail
* Excellent phone etiquette and interpersonal skills for effective communication
* Extremely well organized, excellent planning and prioritising ability with high attention to detail
* Strong organisational abilities to manage multiple tasks efficiently
* Familiarity with clerical duties and office management practices
* Basic knowledge of Xero or similar accounting software is advantageous
* Ability to type quickly and accurately, ensuring timely completion of tasks
* A proactive attitude towards administrative challenges, with a willingness to learn and adapt
* Relevant qualification, such as Business Studies or Social Care – Desirable
