Overview
Anderson Knight is recruiting a Temporary Document Controller to join our client's team in Edinburgh, The Gyle until November 2025.
The Document Controller will play a critical role in supporting the successful technical delivery of projects. This individual will ensure that all project documentation is accurately managed, quality-checked, and readily accessible across the business.
Working hours and salary
Working Hours: Full time equivalent: Monday to Thursday 08:45 AM - 5:00 PM, Friday 08:45 AM - 3:45 PM.
Ideally our client is looking for someone to work part time 2 or 3 days per week.
Salary: £30,000-£34,000
Key Responsibilities
* Managing all drawing uploads across projects.
* Performing quality control (QC) checks on uploaded drawings and ensuring accurate upload to the designated portal.
* Administering user access and permissions within the document management system.
* Delivering training sessions and providing ongoing support to end users of the platform.
* Creating and setting up new projects on the document management system.
* Generating QR codes for accessing site drawings and ensuring they are kept up to date.
* Assisting the technical team with general project administration tasks.
* Coordinating the collation of the as-built project drawings and supporting the wider team with the adoption of legacy assets.
* Issuing and uploading all internal project-related documentation, including in-house drawings, reports, consents, and other relevant materials.
* Conducting due diligence on project information across Asite and SharePoint — for example, cross-checking that data is uploaded appropriately and ensuring consistency of base layouts across architectural, engineering, and landscape drawings.
* Tracking document submissions and notifying stakeholders of any files that are QC rejected.
Requirements
* Experience working with document management systems in the built environment, ideally within the housebuilding sector.
* Previous experience with the Asite project management system is highly desirable.
* Strong IT skills and proficiency with standard software packages (e.g., Microsoft Word, Excel).
* A technical background or experience working with technical drawings is desirable.
* Proven ability to meet deadlines and manage multiple projects simultaneously.
* Excellent communication and interpersonal skills, with the ability to build strong working relationships with internal teams and external stakeholders.
* High attention to detail.
* Ability to work independently and proactively, while also collaborating closely with project teams.
