An exciting opportunity has arisen for a well‑organised and resilient individual to join the Children and Family Services Business Support Team as a Personal Assistant.
As a member of Children and Family Services, you will be required to ensure the development of high quality financial and administrative support and systems.
About the Role
The successful candidate will provide day‑to‑day responsibility for supporting the Children and Family Services Directorate. This includes providing a confidential, comprehensive, and professional Personal Assistant support service to the Director and Assistant Directors and other managers while liaising with staff at all levels internally, externally and across partner organisations.
Also, the successful candidate will ensure that appropriate levels of support for staff are in place, including prioritisation and organisation of workloads, and ensuring appropriate levels of cover daily. The role will include managing electronic diary systems, arranging appointments/meetings/travel arrangements and events. The successful candidate will need to be able to receive visitors and respond to and screen telephone calls, emails and other enquiries to provide a high level of customer care.
The role suits someone who has previous experience as a PA and can work in a demanding environment, including working flexibly and be responsible for managing a high volume of tasks, including prioritisation, delegation and responding as necessary.
About You
To apply for this post, you must be able to evidence in your application how you meet the following criteria:
* Have a good standard of education to include English and Mathematics at GCSE Grade 9-4, NVQ Level 3 in Business Administration (or equivalent)
* Experienced in answering general routine correspondence on behalf of senior managers with proven significant experience providing high level PA support to Senior Managers
* Experience of working within a busy office environment including administering and minuting meetings with fast, accurate typing and strong documentation production skills
* Excellent IT skills, including Microsoft Word, Excel, Teams and PowerPoint
* Excellent organisational and planning skills including a high level of interpersonal and communication skills, both verbal and written, including the ability to take clear messages and maintain up‑to‑date and accurate records
* Have a flexible approach and the ability to work under pressure dealing with changing deadlines and quantities of work.
* To be able to prioritise own workload and use initiative to work to deadlines without close supervision
