Job overview

We have an exciting opportunity in the Breast Imaging Unit to recruit a Deputy Administration Manager who will be enthusiastic about learning a new role and delivering the highest quality service within the breast screening programme and symptomatic breast service.

The post will provide the successful candidate with an opportunity to work as part of a highly functioning multi-disciplinary team.

Main duties of the job

• Assisting the Administration Manager in the management of the administrative function of the North Yorkshire breast screening service and symptomatic breast service.
• Monitoring the Key Performance Indicators for the department, taking action where necessary to ensure targets are being met.
• Producing reports and analysing data to provide information regarding the performance of the breast screening service and sending reports as necessary.
• Support the Administration Manager to maintain the national round length targets and actioning/escalating as appropriate where necessary.
• Have good relationships with a wide range of colleagues such as Screening and Immunisation Team, Screening Quality Assurance, primary care, NHS digital, IT support, and wider Trust colleagues.
• To be the first point of contact for NBSS and IT queries and updates, and support the training of staff in the event of changes.
• Maintain NBSS and BS Select IT systems by completing daily action lists, booking appointments, creating clinics, and managing failsafe cohorts of clients.
• Support the administration of the Very High Risk programme, including checking protocols, booking appointments, providing information to clients, and liaising with other health care professionals.
• To work with the rest of the Quality Management Team within the department to uphold the right results process and ensure staff follow correct protocols.
• To support the administration manager in appropriately responding to and investigating any complaints or incidents as per departmental, national, and Trust protocols.
• Continually performance manage to ensure that the administrative team works consistently to departmental Quality Management protocols and ISO standards, maintains National Quality Assurance standards, and complies with Trust policies and procedures. Escalating any potential issues where necessary.
• Work with the Quality Management Team to develop and review departmental SOPs.
• Provide representation at local and regional meetings as required.
• Undertake and participate in local and external audits as required.
• Provide line management to the administration team - duties include managing annual leave, first stage sickness support, return to work interviews, appraisals, creating rotas, and maintaining a high level of performance.

• Participate in the recruitment of administration staff.
• Manage and support the induction and development of new staff.
• Improve uptake and patient experience through health promotion initiatives.

• Monitor stock levels within the department.

Qualifications

Essential criteria

8. Minimum 4 GCSE’s (Maths and English) Grade A-C or equivalent experience
9. Good IT skills including knowledge of Microsoft office packages

Experience

Essential criteria

10. Minimum of 3 years experience in NHS administration
11. Experience of participating in and carrying out audits
12. Experience working with multi-disciplinary teams
13. Experience of patient administration systems
14. Experience of analysing and collating data

Desirable criteria

15. Experience using IEP and Sectra
16. Experience of breast screening IT systems including NBSS and BS Select
17. Previous leadership experience

Knowledge

Essential criteria

18. Knowledge of the NHS Breast Screening Programme including Very High Risk clients
19. Knowledge of the symptomatic breast pathways
20. Knowledge of confidentiality and data protection

Desirable criteria

21. Specialist knowledge and experience of NHS Breast Screening programme

Skills

Essential criteria

22. Ability to communicate complex information effectively, clearly, and accurately in plain simple language, both verbally and in writing.
23. Ability to function as part of a successful team
