Role Description
We are recruiting a team of administration experts for our new home at 16 Old Bailey. Our Brand Guardians will be responsible for all aspects of day to day office management, alongside guest and partner experience.
Please note, this role will be based in our London office 5 days per week.

2. PROTECT our brand by presenting our office environment to the highest quality.
3. SUPPORT our client-facing teams by ensuring successful execution of meetings and first class guest experience in-room and throughout the building.
4. CREATE AND SUSTAIN our community spirit through demonstrable personality both in person and via comms.
5. BE A FLUID RESOURCE across all brands and floors; providing a seamless service regardless of holidays and to cover absences (due to illness or project assignments within team - such as new business pitches).
Key Responsibilities
Reporting, day-to-day, to the Hub Team Leader - it is your responsibility to ensure prompt execution of all administration and hosting requests.
6. ‘House Champions' - responsible for first and lasting impressions by securing successful execution of every meeting, both internal or external.
7. Administration experts - every transaction is seamless, efficient and enjoyable.
8. Connections architects;
9. Reception; warmly meet and greet visitors
10. Articulate who is resident on each floor and how guests can connect with.
11. Strong links across all support services (PA, IT, Catering), our landlord team and other tenants or building partners.
12. Hub of Information; for other partners (including Landlord team) + other offices across IPG network; understands individual brand values + clients and can communicate/connect upon request.
13. Social Specialists;
14. Promoting opportunities to participate in training/events
15. Responsible for logistics of brand 'all' staff meetings/information sessions hosted on each floor (assuming control from EA/PA team).
16. Working with our internal PR and other partners to organize/promote events.
17. Runners on ad-hoc projects or new business pitches; providing an invaluable and flexible resource to teams in times of need.
18. Event managers; work with internal managers and assistants to proactively collect data and co-ordination of support services in advance, alongside successful execution on the day.
19. Covid Champions & H/S Representatives (Fire Marshall & First Aid).
20. Any other tasks or requests, as directed by the Hub Team Leader or Facilities Director.
