Responsibilities

1. Manage a team of receptionists to ensure cover at all times for 3 reception desks incorporating the new Surgical Centre. Produce a 4 week rota, co-ordinate annual leave, arrange training (including mandatory training) and host Motiv8 appraisals for all team members.
2. Be a super user for the new DCS hospital system and act as a single point of contact with regard to any issues.
3. Be a team player with attention to deal spotting issues before they arise; maintain a friendly, confident manner when addressing issues on the reception desk.
4. Be professional, able to work on your own initiative, and be part of the Central Management Team at VIN.
5. Participate in the monthly Leadership and Central Management Team Meetings.
6. Provide an efficient reception service: greet and book in patients promptly, handle enquiries, and assist visitors as they arrive on site.
7. Provide a comprehensive clerical service: retrieval, preparation and filing of patient information/data; arrange patient transport; book in patients; manage correspondence, photocopying, emailing, and distribution of reports and letters as required.
8. Maintain systems and processes to ensure patient information/data is available, in the right place, and complete and accurate according to the agreed quality standard.
9. Update patient information/data after visits, locate and retrieve supplementary documentation as required, and file essential documents appropriately.
10. Be able to use required electronic systems for correspondence, clinic management and information retrieval as required.
11. Maintain professional and constructive relationships with colleagues within and across divisions and externally to improve service effectiveness and efficiency.
12. Support patient screening processes in line with IPC guidance.
13. Work as part of a team while being responsible for colleagues.


About the Trust

Mid Cheshire Hospitals NHS Foundation Trust (MCHFT) provides good quality, safe and effective healthcare to the people of Cheshire and beyond.

The Trust, which manages Leighton Hospital in Crewe, Victoria Infirmary in Northwich, and Elmhurst Intermediate Care Centre in Winsford, was established as an NHS Trust in April 1991 and became a Foundation Trust in April 2008.

1. To manage a team of receptionists ensuring the rota is always up to date, considering annual leave, training, sickness, etc.

2. Authorising all annual leave for the team, arranging and hosting Motiv8 appraisals in a timely manner.

3. Producing a 4 weekly rota for all staff on Teams.

4. DCS Super User and responsible for dealing with any queries.

5. Ensuring all staff are up to date with all mandatory training.

6. Arranging training sessions, referring staff to social prescribing and occupational health if required.

7. Participating in the monthly Leadership Meetings.

8. Providing an efficient reception service: greeting, booking in patients, dealing with the public, and assisting visitors; handling enquiries promptly and directing patients/relatives/carers as needed.

9. Providing a comprehensive clerical service: retrieval, preparation and filing of patient information/data; arranging patient transport; booking in patients; handling correspondence; photocopying, emailing and distributing reports and letters as required.

10. Maintaining systems to ensure patient information/data are available, in the right place, and complete and accurate.

11. Updating patient information/data after visits and filing essential documents appropriately.

12. Using required electronic systems for correspondence, clinic management and information retrieval as required.

13. Maintaining professional relationships within and across divisions to improve service effectiveness and efficiency.

14. Supporting patient screening processes in line with IPC guidance.

15. Working as part of a team while being responsible for colleagues.
