Great role working for MBNL on an initial 6-month contract with 2 days hybrid working each week in the office.
The Health, Safety, Quality and Environment team, working within the People team, is responsible for managing Health and Safety, Quality, and Environmental compliance across all work on the Radio Access Network sites used by Three and BT-EE.
Reporting directly to the Head of Quality Assurance and Operational Excellence, the Document Coordinator will work closely with the Document Controller and the wider business to develop and deliver MBNL’s Document Management System.
The Document Coordinator will focus on external document publication, ensuring legacy documentation is properly managed and accessible as needed. The role will serve as the point of contact for providing documentation to external DMS repositories and ensuring internal documentation meets expectations.
What you will do:
1. Collaborate with document owners, functional leads, and SMEs to triage and manage existing documentation on MBNL’s external Document Management Systems.
2. Ensure metadata in external DMS aligns with MBNL internal DMS and that the document lifecycle is maintained.
3. Work with the Document Controller and external DMS administrators to improve DMS functionality and design, and establish a process for archiving external documentation.
4. Support the Document Controller in updating, reviewing, approving, releasing, and archiving process and technical documents on external DMS.
5. Oversee the application of document metadata during publishing to ensure consistency and long-term control.
6. Guide business users in accessing the external DMS.
7. Maintain accurate records of documents, including logs, databases, and registers, for easy retrieval and audit purposes.
8. Assist in resolving document-related issues or discrepancies.
What we are looking for:
* Knowledge of DMS, including metadata application for library management.
* Understanding of document management principles and approaches.
* Strong IT skills, especially with Microsoft 365 and SharePoint.
* Ability to coordinate with multiple stakeholders with conflicting priorities.
Nice to have:
* Bachelor’s degree in Business Administration or IT Systems.
* Knowledge of ISO9001 and ISO45001 systems.
* Experience in the construction or asset management industry and awareness of CDM regulations.
