Job purpose
We are seeking a full-time manager to lead a team auditing and seeking refunds from landlords and their agents for property service charges in the United Kingdom.
You will have significant flexibility in structuring your work life. Your responsibilities include formulating and refining departmental procedures, proposing innovative improvements to maximize cost savings, and working with real estate leadership, Finance & Accounts Payable teams, and facility personnel to gather property-specific information for audits. You will engage proactively with landlords and their representatives, requesting documentation and negotiating refunds for overcharges, while fostering positive relationships.
Principal responsibilities
* Manage the end-to-end review of tenant’s property service charges in the UK, including contract, payment, and audit processes.
* Develop systems for cost control, including invoice reviews, budget assessments, service charge audits, and forecasting with tracking mechanisms.
* Lead a team of property service auditors across the UK portfolio.
* Create or update processes to improve audit efficiency and increase property service savings.
* Collaborate with UK leadership to control property service charge expenditures.
* Conduct comprehensive property service charge audits, including on-site inspections and meetings with personnel and landlords' managing agents.
* Review and verify landlords' service charge invoices against lease agreements and financial reports.
* Identify discrepancies and work directly with landlords and managing agents to resolve issues.
* Maintain effective communication with landlords and agents via calls, emails, and formal correspondence.
* Use excellent interpersonal and negotiation skills to gather data and claims.
* Manage multiple audit claims simultaneously, prioritizing follow-ups and reporting to drive projects to completion.
Minimum qualifications
* Experience in Lease Administration, Property Management, Commercial Real Estate, Accounting, Law, or related fields with the ability to interpret lease language.
* Experience managing teams of auditors, administrators, accountants, or real estate professionals.
* Strong organizational, interpersonal, and communication skills.
* Attention to detail and strong analytical skills.
* Proficiency in Microsoft Office, especially Excel.
* Ability to work independently and take initiative.
* Enthusiasm for quality and integrity of work.
Additional preferences
* Experience in service charge auditing and budgeting for office/retail properties.
* Experience managing operations or accounting for properties.
* Knowledge of UK property management standards and RICS regulations.
* Professional designations such as Chartered Surveyor or Chartered Accountant.
