The post holder will provide comprehensive administrative support to the Outpatient Department, working closely with our team of coordinators to ensure that all clinics are fully utilised and well managed, following the Trust Access policy.
They will support the patient pathway and contribute to the efficient management of the outpatient booking process, adhering to standard operating procedures. The role involves liaising with GPs, secretaries, and patients, and handling appointment-related telephone queries professionally.
Key responsibilities include:
1. Collecting, opening, date-stamping, and distributing mail.
2. Delivering and collecting referral letters daily.
3. Distributing referral letters within the clinic's administrative area.
4. Registering referrals onto the IPM system, ensuring data accuracy.
5. Maintaining data quality in collaboration with GP practices.
6. Preparing referral packs for Evolve and scanning referrals when appointments are within 7 days.
7. Managing the 'Work List' for referrals, ensuring timely processing and raising concerns with the supervisor.
8. Assigning referrals to the Evolve system and updating 2WW log sheets.
The ideal candidate will have a positive, proactive approach, strong team ethic, excellent communication skills, and the ability to meet deadlines. Maintaining patient confidentiality at all times is essential.

This is a full-time role within the Outpatient Department for a Patient Pathway Admin Clerk, working 37.5 hours per week, Monday to Friday, 8:30 am - 5:00 pm, including a 1-hour lunch break.
