An established boutique investment management firm are looking to hire a new Head of Operations. The company has a multi-asset investment approach and has grown through both organic expansion and strategic acquisitions. Recent developments include the launch of a financial planning division catering to high-net-worth clients and the acquisition of a mass-affluent financial planning business.
The firm employs a range of operational platforms to manage both investment and financial planning services, including third-party and proprietary systems. A strategic priority for this role is to assess and optimise system infrastructure to streamline and unify data across functions for enhanced business intelligence and marketing insight.
KEY PURPOSE OF THE ROLE:
To lead the Operations Team and oversee back-office functions across the firm, reporting directly to the Managing Partner.
RESPONSIBILITIES:
Operational Oversight & Team Management:
* Oversee all back-office operations and directly manage team members responsible for trading, reconciliations, reporting, and client data.
* Ensure the accuracy and timeliness of daily reconciliations, transaction and regulatory reporting, tax and quarterly reporting.
* Develop and maintain control processes to mitigate operational and regulatory risk.
* Deliver process improvements across the operations function.
IT & Infrastructure Management:
* Manage outsourced technology partners across investment and financial planning platforms.
* Lead system strategy, implementation, vendor management, and continuity planning.
* Administer and manage user access, upgrades, training, and maintenance for internal platforms.
Strategic Data & Information Management:
* Act as the firm’s data owner and architect, ensuring data flows efficiently between systems and teams including compliance, client services, front office, and marketing.
* Coordinate updates to key databases including benchmarks, models, and pricing structures.
* Design and deliver business intelligence and management information reporting, including support for regulatory submissions.
Training & Development:
* Train and upskill the operations team and broader staff in systems use, process management, and compliance.
* Lead initiatives for continuous improvement and knowledge sharing.
Additional Responsibilities:
* Lead the service review process with custodians and external partners.
* Manage non-standard client cases and complex reporting requirements.
* Support the Managing Partner with strategic planning and execution across operations, IT, trading, and client service functions.
SKILLS & EXPERIENCE REQUIRED:
* Demonstrated experience in UK-based wealth management firms across both investment and financial planning disciplines.
* Strong background in operational strategy, systems management, data architecture, and risk control.
* Proven leadership in team management, process improvement, and third-party vendor oversight.
* Deep understanding of investment and financial planning operational workflows, compliance requirements, and regulatory reporting.
