Contract Assist with compiling the monthly contract review pack and attend the monthly meeting. Ensure call outs, maintenance visits, delivery of materials, extra works are within contracted SLAs. Prepare and issue predefined reports, which form part of the contract and client's requirements both operational and financial. Accurately capture data on completed PPM and Reactive Tasks onto the CAFM systems. Drive PPM and Reactive performance through direct engagement with engineering team and task planning and tracking tools. Ensure Logbook sections are kept up to date. Develop, implement and manage operational systems to drive PPM and Reactive Task performance to meet the required SLA's and KPI's set out by the contract. Raise regular observations using Harbour platform, at least 2 per month. Implement innovation across the contract to enhance performance and exceed the client's expectations. Maintain manual and computer records for audits. Seek competitive quotations and better buying. Finance Raising and managing work orders and purchase orders. Managing the client quotation platform and having regular review meetings. Ensure all work orders have the correct information, financials and are billed in a timely manner. Ensure all POs are receipted/ invoiced/ amended as required. Resolve any debt with the client. Attend and actively participate in weekly finance meetings with Contract Manager/ Finance Managers. Managing the Exception Pool and escalating any issues found. Complete monthly billing to client within deadlines. Assist with month end financial reporting and comments. Check the monthly Profit & Loss report to identify any anomalies and keep track to ensure we are on plan for the year. Operational The subject matter expert across all contractual and financial aspects of both contracts, the go to person. Managing and uploading weekly timesheets. Managing, creating and improving spreadsheets i.e. OP18, Finance monitoring. Supporting operations with Scheduling work. People Promote and maintain CBRE work ethics and culture, following the RISE values. Build relationships with key stakeholders - Client/ Vendors/ Colleagues. Participate in organising team build days and social events. Promote employee engagement Having multiple lines of contact with CBRE staff not based on your contract i.e BU Lead, Finance, H&S, Projects. Strive to submit 4 x good or constructive observations per month. Raising site access / Deliveries Skills Experience of working in a fast paced, operational environment. Excellent IT skills, competent across Microsoft Office programs. Strong relationship management with colleagues, clients and sub-contractors demonstrating excellent communication / influencing skills. Strong organisational abilities ensuring all documentation is stored and auditable. Ability to work to own initiative but team orientated, multi-tasking and prioritising workload.
