We're looking for a highly organised and personable Ward Administrator to be the welcoming first point of contact across BSW (Bath & North East Somerset, Swindon and Wiltshire) Community Hospitals. In this vital role, you'll help ensure patients experience a smooth, well‑coordinated journey from admission through to discharge. You will deliver a professional and efficient service to patients, members of the public, colleagues, and external professionals via telephone, email, and post. Working closely with the nursing and multidisciplinary teams, you'll provide comprehensive administrative support that keeps the ward running efficiently — freeing up clinicians to focus on delivering outstanding patient care. The role is based on Orchard Ward at Swindon Intermediate Care Centre and is a full‑time position, working 37.5 hours per week.
Responsibilities
* Manage a wide range of clerical and administrative tasks to support day‑to‑day ward operations
* Support care coordination, helping to ensure a smooth patient journey from admission to discharge
* Maintain accurate and up‑to‑date patient records throughout the pathway
* Handle sensitive and confidential information with the highest level of professionalism at all times
* Deliver clear and effective communication with patients, colleagues, and external stakeholders
* Work proactively as part of a multidisciplinary team in a fast‑paced environment
* Build strong working relationships through confidence, empathy, and a respectful approach
* Manage complex or sensitive situations with discretion and professionalism
Qualifications
* Previous administration experience, ideally within a busy or customer‑facing environment
* Experience using IT systems with confidence and accuracy
* Strong computer literacy, including Microsoft Office (Outlook, Word, Excel)
* Excellent keyboard and data entry skills with a high level of accuracy
* Effective communication and interpersonal skills, with the ability to engage clearly with colleagues and service users both verbally and in writing
* Ability to handle information with discretion, sensitivity, and strict confidentiality
* Strong organisational and planning skills, with the ability to prioritise workload and meet deadlines in a fast‑paced environment
* Proven ability to work effectively as part of a team
* NVQ Level 2 in Administration and/or Customer Services
* Previous experience within health or social care settings
* Basic understanding of medical terminology
* Familiarity with clinical systems or healthcare databases
