About the Role
WESR’s directorate strengthens whole‑energy‑system resilience by turning insight into coordinated, prioritised action that reduces risk and builds capability across the system. You will work on a 12‑month fixed‑term contract in a dynamic role blending coordination, communication and tactical support, especially during incident response. The position can be based from our Warwick or Wokingham office and offers hybrid working from office and home, with full‑time, part‑time and flexible options.
Key Accountabilities
* Support the delivery of key initiatives across the Emergency Preparedness & Restoration area through administrative and operational coordination across multiple projects and workstreams.
* Coordinate meetings, workshops and events with internal and external partners, ensuring smooth scheduling, circulation of agendas and timely follow‑up on actions.
* Act as a technical secretary and minute‑taker in key decision meetings, ensuring an accurate record of discussions and decisions is captured and disseminated.
* Maintain and update trackers, dashboards and shared information systems, ensuring they are accurate, current and accessible to the team.
* Support teams in ensuring that products meet the required standard before progressing through quality assurance checklists against outputs and deliverables at each stage of work.
* Support teams to follow standardised processes, templates and ways of working.
* Collate progress updates, risks and management information from teams to support reporting to leadership.
* Maintain stakeholder contact lists, engagement logs and other reference materials across the Emergency Preparedness & Restoration area; support the arrangement of stakeholder meetings and circulate follow‑up correspondence.
* Organise IT equipment, system access, building passes and other logistics for new starters ahead of their start date; support the induction process and coordinate the leavers process.
* Coordinate training activity across the function, including e‑learning and continuing professional development, ensuring team members complete required training on time.
* Manage the logging of queries and coordinate with relevant individuals and teams to ensure effective resolution.
* Support filing, version control and the upkeep of shared drives and information systems so that documentation is well‑organised, secure and easy to find.
* Take responsibility for coordinating relevant surveys (e.g. employee engagement surveys), ensuring completion across the function and that resulting actions are agreed and followed up.
* Provide meeting and calendar support to the Senior Manager and leadership team.
* Work closely with other Function Coordinators across the directorate and the central portfolio management team to ensure alignment and continuous improvement of coordination and quality assurance practices.
About You
* Experienced in delivering high‑quality administrative and coordination support across multiple projects and teams, ideally in a complex or multi‑stakeholder environment.
* Strong organisational skills with the ability to manage competing priorities, keep multiple processes on track and maintain close attention to detail.
* A proactive approach – able to anticipate what teams need, spot potential issues early and act without waiting to be asked.
* Skilled in managing complex calendars, meetings and events with precision and professionalism.
* Clear and reliable communicator, able to engage confidently with colleagues and external stakeholders, follow up on actions and keep people informed.
* An eye for quality – comfortable running checklists against outputs, spotting gaps and flagging where deliverables may not meet the required standard.
* Discreet and compliant in handling sensitive information, with an understanding of data security and information management requirements.
* Confident working with digital tools for scheduling, tracking, communication and information management.
* A collaborative and supportive mindset, focused on helping others deliver effectively rather than owning the delivery yourself.
* Flexible and solutions‑focused, able to shift attention across teams and workstreams as the business need changes throughout the year.
* Experience coordinating training, onboarding and induction processes is an advantage.
What You’ll Get
* Competitive salary of £44,000.00, dependent on experience and capability.
