Job Description

Brook Street are currently recruiting for a HR Administrator - Executive Officer level, to work for the Vehicle Certification Agency, VCA, in Bristol.

Full-time role working 37 hours per week, Monday-Friday, 9 - 5.

Office based for 3 days a week once training is completed. This could increase, as required, for further training.
Location- Eastgate Office, Bristol
Rate of pay £13.51/hr for the first 12 weeks, then increasing to £15.30/hr thereafter
Temporary contract for 1 year

You will be required to support the HR Business Partner and HR Operations Manager in a range of workstreams, specifically learning and development, diversity and inclusion, wellbeing and HR administration. You will need to have previous experience working in a HR role and evidence of working with stakeholders at all levels. As a HR Officer, you'll work closely with the HR Business Partner in progressing several key HR objectives that support the organisation's business plan as well as the HR Operations Manager in ensuring that day-to-day admin tasks are completed.


Main duties:


- Act as a notetaker in supporting a range of employee relations matters, such as sickness absence, disciplinary etc.

1. Work with line managers to support them in facilitating the informal process of the organisation's sickness absence policy.
2. Provide excellent customer service.
3. Manage and maintain the HR inbox, directing queries to the appropriate HR team member and responding to queries within our service level agreement.
4. Raise purchase orders and goods receipt invoices for Human Resources activities.
5. Lead on the administration of the employee benefit system (EdenRed).
6. Be responsible for maintaining accurate and up-to-date employee data, including our HR system and personnel files.
7. Manage HR data and generate reports as necessary, such as sickness and performance management data.
8. Support the recruitment and on-boarding of new employees.
9. Facilitate the leavers process of exiting employees
10. Ensure all HR documentation is updated to reflect current VCA policy and retained in accordance with GDPR.
11. Provide secretariat support to the HR team and stakeholders when required.
12. Be responsible for processing and reconciling payroll claim forms.
13. Contribute to the HR teams internal communications via the intranet hub and monthly team brief.
14. Assist the HR team in planning and execution of HR projects and initiatives.
15. Monitor and manage compliance requirements related to legal, regulatory, and internal policies.
16. Undertake any other duties or activities reasonably requested to meet departmental or business objectives.




Skills Required:

17. Worked within a fast-paced office environment, supporting a range of workstreams
18. Excellent customer service, confident to operate at all levels and be able to escalate to senior colleagues, where appropriate
19. Be able to work independently and as part of a team
20. Effective time management, with experience of working to tight deadlines
21. Excellent written and verbal skills
22. Computer literate in Microsoft suite applications, such as Excel, Word and PowerPoint
23. Desirable - a knowledge on HR policies and procedures and worked within a HR environment
24. Data entry and analysis


Candidates applying must be able to pass a clear Basic DBS check and provide proof of Right to Work in the UK. You will also need to provide either and or reference details or evidence for education etc for the last 3 years.
