Job Role: Project Coordinator
This role is vital to the team, requiring multitasking and prioritization skills due to its busy nature. Based in our Mallusk office, the Project Coordinator will support HVAC Capital Works projects in Northern Ireland.
Key Responsibilities
1. Coordinate site construction projects to ensure effective and timely execution.
2. Manage scheduling of engineers to provide adequate coverage for all projects.
3. Handle incoming calls efficiently, recording and managing them to standard.
4. Support clients via telephone and email.
5. Log and assign response maintenance calls promptly.
6. Process operatives' paperwork and close calls for payment.
7. Respond within agreed time frames, service levels, and contract terms.
8. Meet targeted KPIs related to contract requirements.
9. Assist in cross-training team members for flexibility and contingency planning.
10. Perform routine administrative tasks.
11. Communicate with stakeholders and clients effectively.
12. Escalate issues promptly to line managers or clients.
13. Undertake additional duties as requested by management.
14. Ensure compliance with policies and procedures.
15. Assist with applications and certificates from authorities/clients.
16. Work safely and diligently, adhering to health and safety policies.
17. Schedule daily runs for multiple operatives and organize materials, liaising with suppliers and subcontractors.
18. Maintain confidentiality and professionalism at all times.
19. Calculate engineer performance and bonuses.
Person Specification
* Minimum 1 year experience in an office environment.
* At least 5 GCSEs, including English and Maths.
* Proficient in Microsoft Office.
* Proactive, independent worker with limited supervision.
* Strong customer focus and professionalism.
* Excellent organizational and communication skills.
* Ability to work as part of a team and develop good relationships.
* Flexible, positive attitude, and adaptability.
* Trustworthy and approachable.
* Leadership by example and a can-do attitude.
