Job Description
Location: Thorpe Wood House, Peterborough, Cambridgeshire PE3 6WT
Salary: £24,960 per annum
Working hours: 08:00 - 17:00, Mon - Fri
What You'll Do
* Identify client requirements via telephone, Request Portal, and email. Manage PPM and reactive Work Orders in a CAFM System to meet KPIs.
* Coordinate with colleagues and suppliers to ensure EMCOR UK SLAs are met.
* Record and respond to compliments and complaints.
* Produce quotations, obtain approvals, and arrange work via Purchase Orders and site access.
* Maintain and update CAFM Work Order Records for clarity and timeliness.
* Close Work Orders promptly to meet financial deadlines.
* Manage Work Orders from initial contact to client feedback, including electronic filing.
* Assign resources effectively based on the type of work, overcoming obstacles, and updating stakeholders.
* Identify procedural improvements to mitigate risks and prevent service failure.
* Develop relationships with clients, colleagues, and subcontractors, sharing knowledge.
* Support the Operational Teams in handling complaints and improving service performance.
* Comply with security and confidentiality instructions.
* Assist Finance with invoicing for services and extra works.
* Maintain paperwork related to facilities, including timesheets, delivery notes, and orders.
* Order office supplies and support facilities during busy periods or staff absences.
* Act as Fire Warden and First Aider (training provided).
* Plan and organize efficiently under pressure.
* Distribute and close help desk tasks, liaising with the team and contractors.
* Monitor Agility data to ensure accurate work order management aligned with KPIs and SLAs.

Person Specification
* Experience in delivering excellent customer service in a client-facing role.
* Experience working in a diverse, busy, and challenging environment.
* Result-oriented with strong planning, organizational, and independent working skills.
* Excellent communication skills, both written and verbal.
* Attention to detail and numerical data understanding.
* Experience managing complex administration with CAFM or similar systems.
* Proficiency in MS Outlook, Word, Excel, and PowerPoint.
* Ownership, accountability, and flexibility.
* Knowledge of work permit processes, risk assessments, and method statements.
