This role may lead to further opportunities. Job Purpose Responsible for ensuring administration of human resource and finance functions run efficiently and to high standard. Attention to detail and a methodical approach is essential for the role. Administrative Provide day to day Human Resource based administrative support to the Support Coordinators Management of People HR, applicant and employee database Arrange job adverts and alert coordinators of shortlisting to ensure required response times are met Organise interviews Keep job descriptions up to date Process DBS Checks Collect references Book new starter inductions and training Manage annual checks on DBS, professional membership, training and continual professional development Organise staff surveys and provide reports Process new starters and leavers Provide day to day administrative support to the Finance Team Invoice generation Post Remittance logging Filing Disposing of sensitive/confidential waste Stakeholder communication Responding and dealing with applicant and staff enquiries in line with our Quality Assurance Framework To ensure systems are up to date in real time (Staff and client files) To promptly report any areas of concern to the Operations Director Working with senior management Attend regular meetings with senior management. Writing and delivering reports for senior management, which may include reports on, service development, feedback, and quality assurance. Contribute to management discussions on the organization’s policies and strategic development via termly meetings; Contributing to the organization of events (e.g., training, conferences, exhibits). Customer service Responding and dealing with customer/staff enquiries in line with our QAF; Ensure feedback is sought and circulated to relevant stakeholders. Maintain a high standard of presentation whilst representing The Learning Support Centre Ltd. General Confidentiality should be respected to agreed disclosure levels. Ensuring that all personnel do all that is reasonably practicable to maintain a safe and healthy work environment, having regard to appropriate risk assessments and ensuring compliance with company and statutory requirements and advise accordingly. Inform The Learning Support Centre of any problems that are either work related or effect your work, the company can then support your situation. Represent The Learning Support Centre in a professional and service orientated manner. This includes adhering to our stringent policies including those on confidentiality, data protection and safeguarding. Actively managing personal development in agreement with your Line Manager. To undertake such other duties as may be reasonably required by The Learning Support Centre Ltd. Professional Development The Learning Support Centre Ltd is committed to the regular monitoring and review of individual performance and to maintaining open and participative communications within the team. Professional development and access to appropriate training is part of this and there will be regular review sessions with your Line Manager or his/her representative. This role description may be subject to review in light of the developing organisation and in consultation with the post holder. Terms and conditions Eligibility to work in the United Kingdom – The offer of employment will be subject to you providing a copy of a document confirming your eligibility to work in this country. Your tax and national insurance contributions will be deducted before you are paid, this will be detailed on your pay slip. Your salary will be reviewed annually; Medical examination – This appointment may be subject to a satisfactory medical report, which may include a medical examination; References – The appointment will be subject to the receipt of references, which are satisfactory to The Learning Support Centre; Pension – All eligible employees will be automatically enrolled into the company contributory pension scheme. Employees will have the option of opting out once they have been enrolled; Probation – This appointment will be subject to a probationary period of 3 months.
