Role Summary
LIVINGWAY is seeking a highly organised and proactive Maintenance Coordinator to lead the coordination and scheduling function of the maintenance department across our Build-to-Rent portfolio.
This role will act as the central control hub for booking maintenance jobs, managing diaries, coordinating contractors, and ensuring that reactive and planned works are scheduled efficiently. The successful candidate will take ownership of workflow management, contractor coordination, and contractual administration while supporting a seamless resident experience through clear communication and strong organisational oversight.
Working closely with operational teams and senior leadership, this position requires exceptional diary management skills, commercial awareness, and the ability to balance resident priorities with operational efficiency.
Key Responsibilities
Maintenance Scheduling & Diary Coordination
* Act as the lead coordinator for all maintenance bookings across the portfolio.
* Manage and maintain daily, weekly, and long term diaries for internal maintenance teams and external contractors.
* Allocate jobs based on urgency, location, resource availability, and service level targets.
* Ensure maintenance workflows are structured, efficient, and aligned with operational priorities.
* Monitor job progress and follow up to ensure completion within agreed timelines.
Resident Maintenance Requests
* Coordinate incoming maintenance requests and ensure they are logged, scheduled, and tracked accurately.
* Provide clear updates to residents regarding appointment times, access arrangements, and job progress.
* Maintain a professional, empathetic communication style that reflects LIVINGWAY’s resident-first approach.
Contractor & Supplier Coordination
* Schedule contractor attendance and manage access arrangements across sites.
* Maintain strong working relationships with external suppliers.
* Monitor contractor performance and ensure works are completed in line with agreed standards.
Contract Negotiation & Legal Documentation
* Support negotiation of service terms and contractor rates where required.
* Maintain responsibility for organising and tracking legal contracts and supplier agreements.
* Ensure all documentation is current, compliant, and accessible for audit or review.
Cyclical & Compliance Maintenance
* Coordinate the scheduling of cyclical maintenance and statutory compliance visits.
* Maintain accurate records of servicing schedules and planned preventative maintenance.
* Support operational teams in maintaining health & safety compliance across the portfolio.
Reporting & Administrative Oversight
* Maintain accurate records of maintenance bookings, contractor agreements, and service schedules.
* Provide updates and reports on scheduling efficiency, outstanding works, and operational performance.
* Assist with tracking costs, invoices, and maintenance-related budgets.
Relationship & Culture Responsibilities
* Lead the coordination function within the maintenance department, ensuring consistency and structure.
* Work collaboratively with site teams, maintenance staff, and senior leadership.
* Demonstrate confident negotiation skills while maintaining positive supplier relationships.
Skills & Experience
Essential:
* Strong diary management and scheduling experience within a fast-paced environment.
* Excellent organisational skills with the ability to manage multiple workflows simultaneously.
* Strong communication and negotiation skills.
* Experience coordinating contractors, engineers, or service providers.
* Ability to manage service agreements or contractual documentation.
* Proficiency in Microsoft Office (Word, Excel, Outlook).
Desirable:
* Experience within property management, facilities management, or Build-to-Rent environments.
* Familiarity with maintenance or property systems (e.g. Yardi, MIQ or similar).
* Understanding of cyclical maintenance planning and compliance requirements.
Key Performance Indicators (KPIs)
* Efficiency and accuracy of diary coordination and job scheduling.
* Maintenance response times and completion rates.
* Contractor attendance and performance.
* Resident satisfaction relating to maintenance coordination.
* Compliance tracking and contract management.
Work Environment
* Based primarily at LIVINGWAY Head Office in Manchester (Ancoats).
* Occasional travel to Northwest sites may be required.
Salary
Negotiable dependent on experience.
