Overview

The Groups Travel Administrator role at CT Travel Group Ltd is a full-time position (37.5 hours per week). It is based in Tunbridge Wells and/or hybrid, with occasional travel to London, client offices and other sites as the business requires. Salary is £19,500 - £23,850 per annum. This role sits in the Groups & Events team and follows the merger of two travel management companies (Good Travel Management and CT Travel Group) into an £85m+ turnover business. The company is part of the John Good Group, a sixth-generation family business undergoing ongoing growth and transformation.


Responsibilities

* To work as part of a team providing group solutions.
* To develop and maintain strong and lasting relationships with existing and new clients through the delivery of excellent service, using suitable products and services and by doing so, contribute to the overall success of the Groups & Events department.
* Under the guidance of the Group Travel Manager, build strong and lasting relationships with clients, including but not limited to: liaise and follow up with clients in a timely manner; manage customer service issues or escalate to the Group Travel Manager for support.
* Support the team to prepare responses to new enquiries. Tasks include but are not limited to: processing requests and assisting with quotations and proposals.
* Under the direction and guidance of senior colleagues support with the delivery of assigned project work including but not limited to: processing hotel payments and commission invoices; issuing payment receipts; sending rooming lists to hotels and DMCs, ensuring standard data processes and GDPR-compliant handling of data; ensuring programme information is filed for easy handover and knowledge of history and status; delivering consistency using standard operational documents (e.g., confirmation of services, budget templates, project change orders, personalised itineraries, operational agendas, stakeholder briefing packs).
* Answering and directing incoming phone calls and emails from clients, suppliers and partners.
* Maintaining awareness of the Groups & Events financial targets and supporting the Group Travel Manager to achieve and exceed them.
* Attending industry events in the UK to expand knowledge both in the UK and overseas.
* Collaborating across the Groups & Events division and wider business.
* Supporting the Groups & Venues team with research, delivery and admin as required.
* Supporting the Trade Missions team with research, delivery and admin as required.
* Supporting the Groups & Events Director and Head of Groups Planning & Delivery to generate new ideas for the marketing department.
* Flexibility to support on-site as required.


What Are We Looking For

* Knowledge of the travel industry is beneficial with a willingness to train and upskill as required.
* Knowledge of GDS Amadeus is beneficial with a willingness to train and upskill as required.
* Knowledge of Evolvi is beneficial with a willingness to train and upskill as required.
* Competent in using the full range of Microsoft Office products (including Teams, Excel, PPT and Word) as well as web-based sharing tools (e.g. SharePoint).
* Knowledge of Dolphin or Travcom would be beneficial with a willingness to train and upskill as required.
* Be confident in using new technology solutions introduced for both internal and external use and be willing to undertake training.
* Able to work on own initiative and manage own workload.
* Excellent attention-to-detail and accuracy.
* Excellent organisational and administration skills.
* Excellent communication and interpersonal skills.
* Good problem solving and decision-making abilities.
