My client, an industry leading builder and contractor are recruting for a site administrator to join their exisiting team or the a flagship rail project in North Yorkshire.
Key Responsibilities ...Receptionist duties, including:
1. Answer all calls efficiently and courteously. Take accurate messages and pass these on as quickly as possible.
2. Greet all guests in a friendly, professional and courteous way, ensure signing in procedures are adhered to.
3. Maintain the reception/visitors area ensuring that it is tidy at all times, monitor parking/advise if vehicles need to be moved.
4. Monitor the security i.e. alarms, keys and access to the building.
5. Deal with the incoming and outgoing post, and ensure it is distributed correctly, quickly and in accordance with QA procedures.
6. Be an ambassador for the company at all times i.e. smart appearance, image, and confidentiality.
7. Meeting room management and meeting hospitality.
8. Handle deliveries and keep organised delivery notes.
9. Managing an updated contact list for the site.
10. To administer the operation of a sign in process for fire safety purposes.
Administration duties, including:
11. Responsible for site office set up and ongoing forms: filing system, spreadsheets, sign in sheet, project-specific forms, etc.
12. Instigate systems for smooth running of the site administration.
13. Preparation and distribution of high quality documents, e.e. presentations, submissions, reports, site signage, minutes, etc.
14. Keep accurate and up to date records of telephone lists, holidays, sickness, HSEQs documents.
15. Maintain QA procedures.
16. Responsible for the upkeep of the filing system.
17. Keep noticeboards up to date: safety/marketing/company announcements.
18. Keep stock of and order cleaning supplies, stationery and copier suppliers
19. Keep stock of, issue to site team, and order PPE.
20. Collate, prepare and follow up for information on monthly/weekly progress reports, with tight deadlines.
21. Processing induction forms, RAMS, permits to work and toolbox talk documentation.
22. Monitor expired CSCS cards, etc and report to Site Manager.
23. Collating daily labour returns.
24. Flexibility in handling other administrative needs of the project team.
25. Assist with chasing subcontractors for close out of snagging items.
26. Assist with O&M collation and archiving.
27. Uploading documents to VFP.
28. Possible cover for document controller.
