The Role
We seek a highly organised and proactive Property Coordinator to join our dedicated team. This pivotal role is central to our operations, ensuring our portfolio of holiday lets is maintained to the highest standard, fully compliant, and always guest-ready.
You will act as the key liaison between property owners, housekeeping teams, and a network of local tradespeople, ensuring the smooth and efficient running of all property-related matters.
Hours
* 09:00 – 17:30 (1 Hour unpaid lunch break)
* 5 Days over 6, which will include a Saturday on a rotational basis.
Key Responsibilities
* Property Maintenance: Manage the end-to-end maintenance process, from logging jobs and coordinating with tradespeople to ensuring timely completion and quality control.
* Owner Relations: Act as a primary point of contact for property owners, conducting twice-yearly property reviews, providing updates, and building strong, lasting relationships.
* Compliance & Safety: Ensure all properties adhere to current health and safety regulations and other legislative requirements, keeping accurate records and staying up to date with any changes in legislation.
* Housekeeping Coordination: Liaise with our network of housekeepers, assist in resolving operational issues, and take the lead on recruiting dedicated housekeepers for new properties joining our portfolio.
* Database Management: Meticulously maintain and update our central property database with all relevant information, from compliance certificates to maintenance histories.
* Feedback Management: Professionally handle owner and guest feedback or complaints, working to resolve issues efficiently and maintain customer satisfaction.
* Onboarding Support: Assist the director with onboarding new properties, including conducting initial checks and ensuring they meet Herdwick Cottages' standards.
* On-Call Rota: Carry the emergency phone and monitor emails out of hours to assist guests with emergencies for 1 week in three on a rota, which may, although infrequently, involve attending the property. To this end, living in the central lakes area would be beneficial but not essential.
About You: Skills and Experience
To succeed in this role, you will be a natural organiser and an excellent communicator with a keen eye for detail.
Essential:
* Exceptional organisational and time-management skills, with a proven ability to manage multiple tasks and deadlines.
* Excellent interpersonal and communication skills, with the ability to build rapport with owners, colleagues, and suppliers.
* A proactive and enthusiastic problem-solver who can work calmly under pressure.
* Confident working both independently and as a collaborative member of a team.
* Experience in dealing with compliance and health and safety legislation.
* Strong knowledge of the Lake District and surrounding areas.
* Proficient in the use of Microsoft Office 365 software.
* A full, clean UK driving licence and your own car is essential for this role.
Desirable:
* Previous experience in property management, lettings, or a similar role, ideally within the holiday letting sector.
