ATS Implementation Project Manager (6–9 Month FTC)
Hybrid – 2 Days/Week in Holborn, London
Reporting to: Head of Global Talent
Global University Systems (GUS) is transforming our recruitment technology and candidate experience. We're seeking an ATS systems and Talent Acquisition expert to lead the consolidation of our UK higher education institutions’ Applicant Tracking Systems, setting the foundation for global expansion in 2026.
A critical requirement is that the chosen ATS provider is AI and automation-focused, with a robust AI-centric product roadmap. This will enable our Talent Acquisition teams to automate routine tasks and focus on value-added recruitment activities. The Project Manager must have this vision front of mind throughout the project lifecycle.
The Role
You’ll lead the full lifecycle of the project—from stakeholder engagement and process mapping to vendor selection, platform configuration, go-live, training, and ongoing optimisation. A key deliverable will be a centralised careers site hosted by the ATS that reflects the identity of each institution and enhances the candidate experience.
Pre-Implementation
* Engage stakeholders across Talent, HR, IT, Procurement, Legal, and Marketing
* Run recruitment process review workshops
* Document workflows and identify opportunities for standardisation and automation
* Align and agree on requirements across institutions, ensuring AI/automation capabilities are prioritised
RFP Phase
* Lead requirements gathering and produce the RFP pack
* Manage vendor demos and Q&A sessions with focus on AI product roadmap and automation capabilities
* Facilitate stakeholder reviews and vendor selection based on technology fit and strategic vision
* Support negotiations and contract finalisation
Implementation
* Oversee all project delivery including system build, testing, and launch
* Configure workflows and reporting to reflect agreed processes and automation opportunities
* Build a centralised careers site that:
* Showcases each institution’s brand and EVP
* Delivers a seamless, AI-enhanced candidate journey
* Coordinate training, change support, and post-launch adoption with an emphasis on leveraging AI for recruitment efficiency
About You
* Proven experience leading complex ATS implementations or consolidations is ESSENTIAL
* Expert knowledge of recruitment processes, systems integration, and AI-enabled automation
* Experienced managing RFPs and vendor relationships, with an understanding of AI product roadmaps
* Skilled in designing careers sites that balance brand, usability, and automation features
* Highly organised, delivery-focused, and confident working cross-functionally
* Strong stakeholder management and influencing skills
