We are excited to offer an opportunity for a Band 3 Clinical Admin Officer to join our friendly and dedicated Paediatrics team at Wexham Park Hospital to work 37.5 hours per week on a permanent contract.

This is a rewarding role where you'll work closely with consultants and their multidisciplinary teams, playing a key part in supporting the delivery of high-quality patient care. We're looking for someone with strong administrative experience, a proactive mindset, and a positive attitude towards change and improvement.

Main duties of the job

* To provide an administrative service to the Department
* To plan and organise own work schedule with the use of appropriate planning aids, demonstrating good time management and ensure anticipated difficulties in meeting deadlines are promptly reported.
* Deal with Consultants requests for actioning urgent correspondence, medico-legal reports and any other appropriate adhoc correspondence requested in line with the Trusts policies and procedures
* To obtain and organise information in support of own work activities, maintain confidentiality in accordance with organisation procedures.
* Answer queries from colleagues, GP's and patients in a timely and professional manner.
* To ensure that secure systems are in place for the storage of all resources including computerised information.
* Scanning and uploading relevant patient medical documents into the Trust's Electronic Patient Record system.
* To assist clinicians with sending letters using Epic where incomplete patient information e.g. address or where attachments need to be included.
* To ensure all phone calls are dealt with in a professional and timely manner adhering to the local targets set by the department and Trust
* To operate the various IT systems used to fulfil the role/department requirements.

Qualifications

* Good education to GCSE standard or equivalent experience
* ECDL or equivalent
* NVQ Level 3 Administration or equivalent practical knowledge.


Experience

* Experience of working in an office environment
* Experience of working within a team environment Working in the NHS in a hospital/private practice/GP setting.
* Call centre experience


Skills

* Ability to communicate clearly.
* Ability to follow clear instructions and feedback to senior staff.
* Logical reasoning i.e. providing/receiving routine/sensitive information requiring tact.
* Competent with current software programmes (i.e. MS Word, Excel, PowerPoint)
* Basic numeracy and literacy
* Excellent interpersonal skills.
* Judge/analyse situations to resolve patient problems.
* Conversant with hospital information systems.
* Understanding of medical terminology.
* Knowledge of NHS targets.

This post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service (formerly known as CRB) to check for any previous criminal convictions.

£27,106 to £28,850 a year per annum inc HCAS
