Main Purpose of the Job:

To provide administrative support to the North Business Unit. To greet and welcome visitors to the Burscough office
whilst managing the Company Switchboard and assisting the Office Manager with building facilities, administration and
services.

Key Tasks & Responsibilities:

1. Booking travel
2. Perform data entry and maintain accurate records
3. Assist with allocations of phones for new starters, set up on various systems
4. Manage leavers phone returns – chase up managers and put all phones back into stock on systems
5. Managing and booking meeting rooms
6. Maintain and upkeep company archiving filing system, including electronic filing records and delivery/collection to off-site storage
7. Greet and welcome visitors in a professional and friendly manner
8. Switchboard Management - Answer and direct phone calls, take messages, and provide information to callers (training on system will be provided)
9. Assist with general administrative tasks such as filing, photocopying, and scanning documents - Schedule appointments and manage calendars
10. Manage incoming and outgoing mail and packages
11. Maintain office supplies and place orders when necessary
12. Provide support to other team members as required
13. Assist Office Manager with Building Facilities Management and records.
14. Ensure the Company’s core values are embedded in all decisions made and shape your behaviour


Knowledge, Experience and Qualifications Required:

15. Good all-round basic education
16. Administrative experience in a busy, customer-facing environment
17. Confident using IT systems and be able to demonstrate working knowledge of Microsoft Office packages i.e. Outlook, Word, Excel, Teams
18. Excellent Communication Skills
19. Must be able to demonstrate a high standard of organisation and prioritising skills
