We are currently looking for an organised and personable Receptionist & Facilities Assistant for a client site in Stockley Park. We are looking for a team member who will work as part of a team to assist with the day-to-day operations of the building and assist with tasks to support the business.
37.5 Hour work week Monday to Friday
Rotating each week, 7.30am - 4pm or 11am - 7.30pm
Your Role:
Act as the first point of contact for all employees, visitors, and external partners.
Manage reception duties including meeting room bookings, visitor access, and daily correspondence.
Provide administrative support such as scheduling, document management, and general office coordination.
Support new starters with a smooth onboarding experience, ensuring they are fully informed about company benefits, facilities, and services.
Handle incoming and outgoing mail, including coordinating international shipments via DHL and Royal Mail, ensuring customs and documentation compliance.
Assist with handling deliveries, including moving and organising packages and supplies within the office.
Assist in decorating and preparing the office for special events and corporate celebrations.
Contribute to facilities reporting, health & safety compliance, and continuous workplace improvement initiatives.
Manage stationary stock.
Monitoring a shared inbox responding to queries in a timely manner
Assist with Ad hoc requests from the wider business and Facilities Manager

Experience within a similar position
Knowledge of Excel, Office Word and Outlook.
Passion to provide the best possible service.
Excellent verbal and written communication skills.
Smart and professional personal presentation.
Great organisational skills
Comfortable undertaking occasional manual handling tasks (e.g. lifting and moving deliveries) as part of daily responsibilities.
Highly organised with strong attention to detail.
Able to manage multiple tasks in a fast-paced office environment.
Proactive and solution-focused approach.
