Aventa is seeking, on behalf of our client—a leading developer in the offshore renewable energy sector—an Operations Coordinator to join their Project Management Department. This role offers a unique opportunity to work alongside a team of skilled engineers, contributing to one of the most significant offshore wind developments in the region.
Responsibilities:
The Near Shore and Far Shore Operations Coordinators report to the Heads of Near Shore or Far Shore and collaborate to support all aspects of Near Shore or Far Shore operations.
They are responsible for maintaining an understanding of the Ørsted Wind Power Operations’ Asset Integrity Management Strategy and Policy, performing related activities, and ensuring the policy is understood by their direct reports.
This role impacts the quality, safety, performance, and effectiveness of Operations.
Key Tasks & Deliverables:
1. Operational project planning support and governance.
2. Serve as the point of contact for global functions/PMs regarding projects in the ECR, handling queries.
3. Manage the annual Statement of Requirements (SoRs), the SoRs & ECR Project Tracker, and report progress, including chasing outstanding start & end dates and WBS codes. Cascade final projects to stakeholders for review and approval. Manage new SoRs throughout the year.
4. Create monthly performance dashboards with accurate narratives.
5. Maintain DORECO Document Management, including creation and upkeep of project folders throughout the project lifecycle.
6. Oversee the Annual AIMP Review for the team.
7. Review weekly GPC Schedule versus received SoRs, report deviations, additions, and date changes.
8. Organize and facilitate Quarterly Workshops to promote continuous improvement and standardization.
9. Manage project invites for region-specific certifications and competencies (OESR P / CP Invites).
10. Register and review SOMS as requested.
11. Update the Projects Safety Pack for onboarding purposes.
12. Handle UKE STATS Inspections documentation, record-keeping, and upload of DPRs, Stat Checklists, and Survey Defect Reports.
13. Ensure a fully auditable project documentation repository, sharing best practices with colleagues internationally.
14. Manage relevant inboxes for the team, ensuring clear communication of project requests and reports.
15. Oversee contractor monthly exposure hours reporting.
16. Coordinate near shore/far shore strategic initiatives.
17. Produce operational performance dashboards for monthly reviews.
18. Maintain and update Asset Safety Packs.
19. Plan departmental events like business planning, team building, and safety events.
20. Manage meeting governance for Near Shore/Far Shore activities.
21. Serve as stakeholder contact for site visitors.
22. Maintain and update Site Synergi data, ensuring actions are categorized and owners assigned.
23. Support SAP purchasing activities, including PRs and POs.
24. Assist with WBS governance and cost allocation, including budget and cross-checking.
25. Update distribution lists for relevant sites.
26. Support recruitment and onboarding of new starters for relevant sites.
Requirements and Qualifications
Essential:
* Relevant educational background for the role.
* Proven experience providing administrative support and maintaining office systems.
* Excellent communication and problem-solving skills.
* Intermediate to advanced proficiency in MS Word, Excel, and Outlook.
* Ability to prioritize, organize, and proactively manage workload.
* Fluent in English, both spoken and written.
Desirable:
* Business administration qualification.
* Experience in a technical business environment.
* Knowledge of economics and logistics, especially site-specific.
* Experience working in a large international organization.
* Intermediate to advanced SAP skills.
