Overview
Supports Project Leadership in the efficient use of the firm’s resources (people, processes, and tools) and assignments, with an administrative and operational focus on project management, project accounting activities, and communication, while effectively supporting the firm’s values. Supports Project Leadership on specific projects, sharing responsibility for project success.
Responsibilities
1. Assist Project Managers with initiation of HKS General Terms and Conditions and Release Forms.
2. Set up and maintain the project directory of all contacts.
3. Manage project meetings, including scheduling, preparing/distributing agendas and reports, maintaining action logs, organizing files, and following up with the team.
4. Help maintain the project schedule and staffing within HKS’s project planning software.
5. Track the delivery of implementation documents through all project phases, sharing lessons learned and project impact.
6. Maintain current, complete, and accessible project information.
7. Coordinate project team interactions through scheduling and communication, guided by the project manager and architect.
8. Attend project and staffing meetings as necessary.
9. Perform desktop publishing activities for reports, correspondence, and presentations, with minimal supervision.
Qualifications
1. Bachelor’s degree in business or related field, or equivalent experience.
2. Typically 5+ years of experience in the architecture industry.
3. Proficiency in MS Office Suite (Excel, Outlook, Word, PowerPoint, Teams).
4. Knowledge of Adobe InDesign for creating and editing graphic materials and presentations.
5. Familiarity with Vision or ERP software is preferred.
6. Knowledge of Salesforce functionality.
7. Experience in project management and connecting resources and people is preferred.
8. Strong organizational skills, ability to handle multiple projects, and support team collaboration.
9. Professional, diplomatic, and collaborative communication style.

11. Excellent verbal and written communication skills.
