Position Overview
We are seeking a highly organised, proactive, and discreet Executive Assistant to support senior leadership within a dynamic Private Equity environment. This role requires exceptional attention to detail, strong interpersonal skills, and the ability to manage complex, fast-paced schedules across global markets.
The Executive Assistant will be instrumental in ensuring the smooth operation of daily business activities, providing both administrative and strategic support to senior executives and investment professionals. Responsibilities
* Executive & Team Support
* Provide day-to-day administrative support to Partners, Managing Directors, and senior investment professionals.
* Manage complex calendars across multiple time zones, scheduling meetings, investment committee sessions, and external interactions.
* Coordinate international and domestic travel arrangements, including flights, hotels, visas, and itineraries.
* Process and track expenses, invoices, and reimbursements accurately and efficiently.
* Investor & Deal Process Support
* Liaise with investors, portfolio executives, advisors, and service providers with professionalism and discretion.
* Assist with the preparation, organisation, and distribution of investment materials, presentations, and fundraising documents.
* Support due diligence and transaction processes through scheduling, document coordination, and liaison with external advisors.
* Office Management & Operations
* Oversee office administration, supplies, and facilities as required.
* Support onboarding of new employees, interns, and consultants.
* Coordinate team offsites, investor events, and management meetings.
* Ensure compliance with firm protocols around confidentiality and documentation.
Qualifications & Skills
* 3+ years’ experience as an Executive Assistant, ideally within Private Equity, Investment Banking, Asset Management, or another fast-paced financial services environment.
* Strong organisational and time-management skills, with the ability to manage competing priorities under pressure.
* Excellent written and verbal communication skills.
* Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel). Experience with CRM or deal-tracking software is a plus.
* High degree of professionalism, integrity, and discretion when handling sensitive information.
* A proactive, detail-oriented approach with a “no-task too small” mindset.
