Facilities Manager

Location: Richmond Villages Witney, Coral Springs Way, OX28 5DG

Salary range: From £37,000 per annum depending on experience.

Contract: 40 hrs per week

Shift Pattern: Mainly Monday to Friday, may require occasional weekend work and some on call.

Role Purpose

The Facilities Manager will be responsible for the efficient operation and maintenance of all physical aspects across Richmond Village Witney to include overseeing the maintenance of buildings, grounds, equipment, and systems to ensure the safety, comfort, and satisfaction of our residents.

Our resident’s quality of life and care depend upon the safe and exceptional standard of the facilities and service we provide. The Facilities Manager is responsible for building an exceptional team, ensuring that they and their work meet the standards required by our residents.

As our Facilities Manager, you’ll ensure that the necessary maintenance and repair tasks are completed to the highest standard and the Village remains fully functional at all times.

You’ll help us make health happen by:

1. Main Accountabilities and Responsibilities:

2. Supervise and lead a team of maintenance and grounds team members, including hiring, training, scheduling, and performance management.

3. Collaborate with village departments, such as operational management, leisure, housekeeping, reception, and sales to coordinate maintenance activities and support operational goals.

4. Key Skills & Requirements:

5. Proven experience in maintenance management, preferably in a senior living or hospitality environment.

6. Relevant qualification in Facilities Management, Engineering, or related field preferred.

7. Qualification within health and safety working practices - IOSH Managing Safely

8. Strong leadership and interpersonal skills with the ability to motivate and develop a team.

9. Experience in managing budgets and controlling costs.

10. Maintenance planning and project management.

11. Excellent problem-solving abilities and attention to detail.

12. Knowledge of building regulations, health, safety, and environmental standards.

13. Proficiency in maintenance management systems and Microsoft Office.

14. Flexibility to respond to emergencies and work occasional evenings or weekends as needed.

15. Have excellent all-round technical knowledge and experience of general trades.

16. Pool plant operator’s knowledge preferable.

17. Implement maintenance policies, procedures, and standards to ensure compliance with regulatory requirements and industry best practices.

18. Day-to-day responsibility of all legislative controls, processes and procedures working closely with the Village Manager, Regional Maintenance Manager and departmental teams.

19. Conduct regular inspections of buildings, grounds, and equipment to identify maintenance needs and prioritise repairs.

20. Generate, co-ordinate, and oversee preventative maintenance programs to prolong the life of assets and minimise disruptions to residents.

21. Manage maintenance budgets and expenditures, seeking cost-effective solutions without compromising quality or safety.

22. Liaise with contractors, vendors, and suppliers to obtain quotes, negotiate contracts, and oversee work performed on-site.

23. Respond promptly to maintenance emergencies and address residents concerns in a timely and professional manner.

24. Collaborate with operational management, spa, housekeeping and reception to coordinate maintenance activities and support overall operational goals.

25. Maintain accurate records of maintenance activities, equipment inventory, and work orders using maintenance management systems.

26. Stay informed about industry trends, new technologies, and best practices in maintenance management to continuously improve operations and service delivery.

27. Walk the village to determine the village needs on a priority and strategic basis.

28. Prepare business presentations - share action plans with team members and owners where required (e.g. Capital expenditure plans).

29. Available for emergency calls to assist colleagues as needed.

30. Be involved with weekend Duty management, 1 shift per month.
