Job responsibilities
Theduties and responsibilities to be undertaken by members of the practiceadministration team may include any or all of the items in the followinglist. Duties may be varied from time totime under the direction of the practice manager, dependent on current andevolving practice workload and staffing levels.
Openingup/locking-up of practice premises and maintaining security in accordance withPractice protocols.
Processingpersonal and telephone requests for appointments, visits and telephoneconsultations and ensuring callers are directed to the appropriate healthcareprofessional.
Explainpractice arrangements and formal requirements to new patients and those seekingtemporary cover and ensure procedures are completed.
Receiveand make telephone calls as required including from the care-coordinatorwaiting list.
Divertcalls and take messages, ensuring accuracy of detail and prompt appropriatedelivery.
Workingwith the triaging GP to process patient online enquiries sending the guidancerequested by the GP.
Enterrequests for home visits into the computer, ensuring careful recording of allrelevant details and where necessary refer to duty doctor.
Advisepatients of relevant charges for private (non-General Medical Services)services, accept payment and issue receipts for same.
Processingand distributing incoming (and outgoing) mail.
Filingand retrieving paperwork.
Computerdata entry/data allocation and collation; processing and recording informationin accordance with practice procedures.
Initiatingcontact with and responding to requests from patients, other team member andassociated healthcare agencies and providers.
Providingclerical assistance to practice staff, including word/data processing, filing,photocopying and scanning.
Ordering,re-ordering and monitoring of stationery and other supplies.
Provisionof refreshments for staff and visitors as required and keeping the kitchen areaclean and tidy.
Keepingthe reception area, noticeboards and leaflet dispensers tidy and free fromobstructions and clutter.
