Job Role
To be the first point of contact for all Service guests, providing a professional reception and facilitating efficient workshop operations to maximize Guest Experience and departmental profitability through all guest services.
Key Responsibilities and Duties (list not exhaustive)
* Book in vehicles, ensuring appointments are convenient and in line with workshop capacity.
* Produce accurate job cards, invoices, and guest information, providing relevant details to the workshop and guests.
* Liaise with the parts department to ensure parts availability and keep guests informed.
* Greet guests at reception, offer courtesy services, and confirm details before repairs. Ensure vehicle inspections are carried out with guests before work begins.
* Inform guests of progress, obtaining approval for additional work.
* Collect payments or signed authorizations before vehicle release and process promptly.
* Log guest complaints, pass information to management, and ensure quick resolution.
* Maintain the reception area according to standards and guest needs.
* Explain work carried out and recommendations to guests, upselling where appropriate to enhance the guest experience.
* Keep records of all service guests for follow-up.
* Comply with FCA requirements and operate within legislative guidelines.
* Maintain supplies of departmental stationery.
* Respond promptly and courteously to inquiries.
* Check returned parts for damage, log returns, and update inventory.
* Keep stock organized and well-maintained.
* Update parts literature and related information for efficient service.
* Maintain accurate stock records and process invoices for parts purchases.
Work Pattern
This is a permanent full-time position:
* Monday – Friday (08:00 – 18:00)
* Saturdays (08:00 – 13:00) on a rota basis (1 in 2)
Applicants should possess and demonstrate:
* Full UK Driving Licence with no major endorsements
* At least 1 year of experience in a similar role (Customer Service, Service/Parts/Warranty Advisor)
* Proven sales skills and excellent customer service experience
* Strong communication, organizational, and interpersonal skills
* Enthusiasm, respect, and friendliness towards guests and colleagues
* A positive, can-do attitude
* Passion and ability to deliver outstanding guest experiences
* High integrity and motivation to succeed
