Are you an organised and proactive individual looking to make a real impact? We’re seeking a friendly and dedicated Personal Assistant to join our Exeter team and support one of our key members. If you thrive in a dynamic environment and love helping others, this role is perfect for you!
As a Personal Assistant, you’ll work closely with a specific individual within our accountancy firm, providing essential support for their daily duties. Your responsibilities will vary but often include answering calls, taking meeting notes, scheduling, and making travel arrangements. You’ll also lend a hand to our accounting team when needed.
This role can be either part time or full time, ranging from 22.5 to 37.5 hours per week.
Role & Responsibilities
* Provide administrative support for your team and partner.
* Answer and direct phone calls accurately.
* Take and pass on messages with all required details.
* Monitor team member emails during absences or holidays.
* Organise client and network meetings
* Attend meetings and take precise notes when required.
* Manage schedules and arrangements for the employer and team.
* Act as a first point of contact when necessary.
* Provide remote support to other offices or reception during absences or holidays.
* Set up new clients on the system and request necessary documentation.
* Check and send correspondence to clients as requested.
* Receive, record, and return client records.
* Scan and upload documents to CCH.
* Assist with bill creation and finalisation.
* Provide statistics to monitor billing targets.
* Create, close, and open assignments as needed.
* Monitor WIP that can be moved as contacts convert to clients.
* Check engagement letters for expiration.
* Maintain AML records.
Required Experience
* 5 GCSEs C (4) or Above, including English and Maths
* Intermediate knowledge of Excel and Word.
* Experience in office management or administration/finance is desirable but not essential.
* Ability to show initiative and work within a team.
* Strong organisational skills and the ability to manage deadlines effectively.
* Excellent communication and interpersonal skills to build rapport with people at various levels.
* Ability to manage your workload in a timely manner while exceeding client expectations.
Desired Skills
* Knowledge of accounting software such as Sage, Quickbooks or Xero
* Accounts production software such as CCH desirable but not essential
* Full UK Driving Licence
* 1 extra holiday day for Christmas
