Role Summary


The Operations Coordinator is responsible for organising and coordinating the team, supporting the business by providing accurate information promptly, and maintaining the efficiency of daily operations.

The Coordinator is the first point of contact with customers, suppliers, and third-party agents, responding to and resolving queries in a timely, efficient, and friendly manner.



Job Description


Role and Responsibilities:
* Answer phones and respond to customer queries via telephone and email following company guidelines.
* Manage information flow within the company through calls and shared mailboxes.
* Process, schedule, and track client bookings using software tools like Navigator, Microsoft 365, HubSpot, and web portals.
* Coordinate fleet and drivers, identifying demand for subcontractors as needed.
* Prepare documents such as Quotes, ATA Carnets, Rate Cards, Reports, and Presentations.
* Maintain relationships with clients, agents, and third parties, providing high-quality customer service.
* Handle client complaints and queries effectively, escalating when necessary.
* Manage diaries and calendars, coordinating resources for client and event needs.
* Travel for client meetings and site visits when required.
* Participate in training and workshops.
* Develop and communicate internal processes based on business needs.
* Collaborate with colleagues and internal departments.
* Support managers and directors as needed.
* Maintain electronic filing systems and ensure data accuracy.
* Perform any other tasks reasonably requested.


Knowledge/Experience Requirements

* A clean driving license.
* Right to work.
* Knowledge of importing/exporting/shipping is beneficial.
* Experience in event logistics is beneficial.
* Strong organisational and administrative skills to handle a busy workload.
* Ability to work calmly under pressure and meet deadlines.
* Effective communication skills in various formats.
* Resourcefulness in researching and sharing information.
* Willingness to support colleagues and be a team player.
