Interim Transport Administrator - View to moving into a permanent role

Purpose of job
All tasks related to the smooth running of the Transport Office and Transport function.
Key output/deliverables
To manage UK/Export/Scottish & Irish (S&I) third party Transport administration
Report defects and raise invoices for vehicle leasing company. Manage charges/recharges against defects, repairs and hire periods
Ensure Transport for Export/Scottish & Irish (S&I) orders from WGC are planned and booked to meet customer expectations and utilise all available efficiencies
Create UK/Export/Scottish & Irish (S&I) KPIs and report monthly, meeting with the Transport Manager on a regular basis to review
Assist in claims process against UK, Export, S&I haulers completed in timely manner, including damaged product, lost or stolen loads or credits for agreed haulier inefficiencies
Secure best delivery rates and services for specific UK/Export/Scottish & Irish (S&I) orders with approved haulers.
Collate all issues/claused report emails from EV Cargo and all other 3rd party haulage and upload into the various failed delivery reports. Check inbound PODs for any issues and check the status of any held stock with 3rd party haulage for return.
Cross check all invoices for transport services, 3rd party transport and sundry. Input into system, raise issues credit requests and chase outstanding issues raise POs.
Progress of UK and export deliveries is monitored, responding to issues, and taking action to optimise individual deliveries.
Challenge UK/Export/Scottish & Irish (S&I) key suppliers performance and initiatives on a day to day basis to recover poor collection or delivery occurrences
Maintain company FORS standard data

Principal responsibilities
Assist with debrief: To debrief own fleet drivers. Reconcile COD report, identify any delivery anomalies and enter onto failure report.
Collect any post from Reception, collect job sheets from DC, check customer key box, check truck keys on site, and report any missing.
Manage purchase order entries from inception to MIGO.
Raising any discrepancies on the transport supplier Invoices.
Daily notification of own route activity to wider business
Daily route check to ensure all routes have departed
Daily defect report checks against vehicles/drivers in Truckfile
Manage supplier QC and risk data.
Maintain relevant purchase order files and costs spread sheets
Fill in temperature sheet. Fill in debrief sheet. Send these reports to email groups.
All other relevant duties as and when required.
Performance measures
Producing KPIs for Jigsaw and other assorted transport KPIs and creating monthly KPI and performance record
Managing Truckfile defect recording daily
Education and experience
Educated to GCSE level or equivalent
Previous experience working in a Transport Environment (desirable)
Strong administration background
