About Us

I'm looking for a Business & Compliance Support Assistant to work closely with me, helping to manage my two businesses,:

* Looking Forward Activities Ltd – a learning disability day service, recognised for enriching opportunities that help our members thrive.
* LFTR Property Ltd – a property management company.

The role involves managing financial administration, developing efficient business systems, and maintaining clear compliance records. It's a varied position where no two days are the same, giving you the opportunity to support two growing businesses while helping to create new opportunities that have a real impact on people's lives.

This role is responsible for:

* Managing financial administration (receipts, invoicing, costs, audit prep).
* Supporting business projects and reporting.
* Developing and maintaining systems for compliance (GDPR, safeguarding, HR, health & safety).
* Ensuring policies, processes, and records are well-organised and audit-ready.

By taking ownership of business systems and compliance tasks, the post holder will give the Director more time to develop new projects and opportunities for Looking Forward Activities, while continuing to oversee both companies.

Key Responsibilities

Financial & Administrative Support

* Record, file, and reconcile receipts and invoices.
* Support with raising, sending, and tracking invoices and supplier payments.
* Maintain organised financial records in line with audit requirements.
* Prepare and maintain business cost reports for the Director.
* Liaise with accountants, bookkeepers, and suppliers.

Compliance & Systems Development

* Develop and maintain systems for compliance monitoring (GDPR, safeguarding, health & safety, HR).
* Support audit checks and keep evidence files ready for inspection.
* Maintain accurate staff records for property company (e.g. DBS, training)
* Track renewal deadlines (insurance, policies, risk assessments, staff training).
* Help ensure company policies and procedures are reviewed and updated on schedule.
* Maintain secure data storage systems (Google Drive, locked cabinets).

Project & Operational Support

* Assist with planning and monitoring of business projects.
* Gather data for project budgets, costs, and reports.
* Coordinate small projects or system improvements as directed.
* Support the Director with general administrative tasks including scheduling, emails, and document preparation.

Skills & Experience

Essential:

* Strong organisational and administrative skills.
* Experience managing receipts, invoicing, and financial records.
* Confidence with IT systems, including Excel, Word, and Google Drive.
* Attention to detail with accurate record-keeping.
* Ability to work independently and prioritise tasks effectively.
* Discretion and ability to handle confidential information.

Desirable:

* Previous experience in business support, PA, or operations role
* Experience with compliance systems (GDPR, safeguarding, health & safety).
* Experience supporting audits or inspections.
* Quickbooks Accounting Software knowledge

Personal Qualities

* Proactive and able to suggest improvements to systems.
* Reliable, trustworthy, and committed to high standards.
* Flexible and adaptable to support two different businesses.
* Strong communication skills and confidence liaising with professionals (staff, suppliers, auditors).

Salary

Approx. £10K–£16K per year for 15–20 hours per week depending on experience. Flexible working hours available.

Contract Type:

This role is offered on a 12-month fixed-term contract, with the possibility of becoming permanent depending on the evolving needs of the businesses and the performance of the post holder.

Pay: £13.00-£16.00 per hour
