To provide administration support for all live contracts within the Maintenance group, working alongside the Mobilisation Manager, Commercial Manager, Contract Managers, and the Business Development team. The role specializes in the annual renewal of existing contracts and the mobilisation of new contracts, including the placement of subcontractor purchase orders.
Areas of Job Accountability
* Renewing existing contracts annually
* Managing updates and alterations of site assets
* Assisting the Mobilisation Manager in liaising with Contract Managers to ensure the renewal process is completed timely and standard operating procedures are met
* Contacting subcontractors and suppliers to obtain up-to-date information and quotes
* Mobilisation of new contracts
* De-mobilisation of lost contracts
* Reviewing and loading assets into the CAFM system
* Programming and adjusting labour and subcontractors to meet workload demands
* Placing orders to suppliers and subcontractors based on new business information
* Operating facilities management systems such as Job Logic and eLogbook
* Supporting other team sections for holiday and sick cover
* Utilising company databases to track work activities, including scheduling and producing PPM tickets, placing orders, and managing site log books
Job Size
Contract administration across all maintenance contracts within the business.
Procurement of suppliers and subcontractors up to authorized levels.
Authority Levels
Assisting in sourcing suppliers and subcontractors to meet the approved contract plan.
Qualifications and Experience
Proficiency in major software packages.
Experience in procurement of mechanical or electrical installation/maintenance is preferable.
Work planning and programming skills.
Costing of maintenance activities is advantageous.
