About the Role
The receptionist / office administrator is the first point of contact, you will provide outstanding front-of-house service while handling a variety of administrative tasks that support the smooth operation of the office reporting to the HR Manager.
Responsibilities
* Greet and assist visitors, clients, and employees with professionalism and warmth.
* Answer and manage phone calls, emails, and correspondence efficiently.
* Dealing with Exchange Manager on building issues daily (e.g. carpet cleaning, light fixture replacement, office temperature, etc.) and attend building management meetings every quarter.
* Dealing with all office & ships mail.
* Ordering of all office consumables and stationery.
* Arrange Corporate Travel & Accommodation as and when required.
* Coordinate general office maintenance and equipment testing as required and responsible for office vendor relationships (e.g. copier, printer, phones).
* Maintain and update office records, team calendars databases, and filing systems.
* Schedule meetings, manage calendars, and coordinate travel arrangements.
* Support internal teams with administrative tasks as required and provide prior great teamwork support.
* Lead office clean-up and organization.
* Responsible for office celebrations (birthdays, baby showers, etc.).
* Assist with additional general office tasks as needed and any other duties as assigned.
Qualifications
* Proven experience in reception and administrative roles.
* Strong organizational skills with attention to detail.
* Excellent communication skills, both written and verbal.
* Proficiency in Microsoft Office (Word, Excel, Outlook) and knowledge of SAP would be advantageous.
* Ability to multitask and manage time effectively in a fast-paced environment while executing multiple projects simultaneously.
* Enthusiasm for Tidewater's mission.
* Proven track record of excellent follow-through and accountability.
* Self-starter and positive, can-do attitude.
* Flexible and able to meet changing work needs and demands.
* Excellent web and technology skills and comfortable troubleshooting tech issues.
