Job Summary
This is a maternity cover post for 12 months. There are options of a secondment and fixed term options will be considered. This is a part-time role (22.5 hours) for a Senior Administrator/Medical Secretary to join the Assertive Outreach team at Huntington House in York. You will work with another medical secretary and be supported by the team secretary to support the consultant, junior medical staff and advanced nurse practitioners in delivering patient care. If you have experience as a medical secretary/clinical secretary/personal assistant and are confident using IT systems in a dynamic busy setting, we would like to hear from you.
Main duties
* Provide comprehensive admin support to the consultant and medical team, including digital dictation or copy typing of patient letters, diary management, minute taking, and recording confidential information on Trust systems accurately and timely.
* Work as part of the multi-disciplinary team with occupational therapists, nurses, consultants, junior doctors, psychologists, and management to ensure admin needs are met for patient care.
* Offer supervisory support to other admin staff, multitask in a busy environment, communicate effectively, build strong working relationships, prioritise workload, and understand mental health care challenges.

Job Responsibilities (Continued)
The Trust supports colleagues with regular 1-2-1 supervisions and annual appraisals. You will work with the team administrator to deliver admin support, attend regular meetings to improve knowledge, and be involved in minutes and record-keeping. Qualifications and Experience
Essential
* BTEC Diploma/Level 3 Diploma in Leadership and Management or equivalent (e.g., NVQ in Business Administration / RSA Level 3) or demonstrated work experience with willingness to progress to Level 5
* IT qualification (e.g., ECDL, RSA, NVQ in Business Administration) or equivalent experience
* Literacy and numeracy at Level 2 or O'Level/GCSE equivalent
Experience
* Implementing and maintaining administration systems and processes
* Leading, supervising and training staff on administrative processes
* Experience in an administrative environment with digital audio typing, Microsoft Office, diary management, filing, data presentation
* Co-ordinating meetings and related duties
* Data extraction and report preparation
* Participation in service and quality improvement initiatives
* Advanced typing and accurate data input
Knowledge
* Understanding of data protection and confidentiality
* Awareness of quality improvement initiatives
* Ability to manage deadlines and workload, using delegation where needed
* Problem solving for areas of work or developing procedures
Skills
* Copy typing/transcription from audiotape or shorthand
* Organisational and diary management with meeting coordination
* Effective communication in English (verbal and written)
* Ability to work on own initiative, prioritise and meet deadlines
* Ability to lead, motivate and manage staff where applicable
Desirable
* Experience with MS Excel
