Dudley Surgery (part of Wideopen Medial Centre) is looking for an enthusiastic and reliable GP Receptionist to join our friendly, busy team. As the first point of contact for our patients, you will play a vital role in ensuring the smooth and efficient running of the practice, providing a welcoming front-of-house presence and reliable administrative support.
About the Role
This is a part-time position, working 25 hours per week. A typical working day will be fast-paced and varied, with duties ranging from greeting patients to managing a wide range of administrative tasks. The successful candidate will have excellent communication skills, be a team player, and possess the ability to remain calm and organised under pressure.
Working Schedule
Monday and Tuesday 8:30am - 18:00pm
Wednesday and Thursday 8:30am - 12:30pm
Main Duties and Responsibilities
Front of House
Greet and assist patients and visitors in a polite, friendly, and courteous manner.
Answer general enquiries and take messages as appropriate.
Book, cancel, and reschedule patient appointments using the practice's computer system e.g., SystmOne
Explain practice procedures and formal requirements to new and existing patients.
Advise patients of any relevant charges for private, non-NHS services, and accept payments.
Ensure the reception and waiting areas are kept clean, tidy, and welcoming.
Administration
Process repeat prescription requests in line with practice guidelines.
Undertake general administrative duties such as scanning, filing, and coding patient correspondence.
Handle incoming and outgoing mail and email.
Make outbound telephone calls.
Process new patient registrations forms.
Assist with other clerical tasks, including photocopying and word processing.
Handle confidential patient data with the utmost discretion and adhere to GDPR regulations at all times.
The Ideal Candidate Will Have:
Excellent communication and interpersonal skills, both face-to-face and over the phone.
Strong IT proficiency, with experience using Microsoft Office and ideally SystmOne.
The ability to work accurately and methodically in a fast-paced environment.
Excellent organisational and time management skills.
A professional, calm, and reassuring manner, particularly when dealing with distressed or anxious patients.
A good team player attitude, but also the ability to use your own initiative.
Flexibility to provide cover for colleagues during holidays and sickness.
Previous experience in a GP surgery or customer service role is essential, but full training will be provided for the right candidate.
